Job Summary
We are seeking a dynamic and dedicated Customer Service Specialist to join our team! Whether managing multi-line phone systems, handling data entry, or coordinating appointments, your proactive approach will keep our operations running smoothly. Duties

Greet visitors and clients at the front desk with professionalism and enthusiasm, creating a welcoming atmosphere
Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
Handle data entry tasks with precision, including updating records in QuickBooks and maintaining organized filing systems
Provide exceptional customer support by addressing inquiries promptly via phone, email, or in person
Assist with office management duties such as calendar management, appointment scheduling, and document proofreading
Support clerical tasks including filing, copying, scanning, and managing office supplies to ensure smooth daily operations
Collaborate with team members to improve office workflows and enhance overall customer experience

Experience

Prior experience in office management or administrative roles is highly preferred
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Excellent communication skills, both verbal and written; bilingual abilities are a plus
Familiarity with front desk procedures, medical or dental receptionist duties, or personal assistant experience is advantageous
Proven ability to handle sensitive information with confidentiality and professionalism
Experience using multi-line phone systems, data entry software like QuickBooks, and basic bookkeeping is desirable
