Sales Order Processing Specialist

Job Overview

MRCOOL, LLC is a leading HVAC company focused on innovative heating and cooling technology. As our company continues to grow, we are seeking a detail-oriented Sales Order Processing Specialist to join our sales operations team.

This position works closely with sales representatives and internal departments to ensure customer orders are accurate, complete, properly paid, and successfully processed for shipment. The ideal candidate is organized, comfortable working with numbers and order-management systems, and capable of identifying potential order issues before they affect the customer.

Responsibilities

Review and process sales orders accurately and efficiently.
Verify customer, billing, payment, and shipping information before releasing orders.
Confirm payment methods and amounts and identify discrepancies requiring correction.
Review order line items, quantities, pricing, discounts, and applicable shipping charges for accuracy.
Verify that selected HVAC equipment, components, and accessories match and are compatible.
Communicate with sales representatives to resolve incomplete, inaccurate, or conflicting order information.
Coordinate with sales, accounting, logistics, warehouse, and other internal teams throughout the order process.
Monitor order status and help ensure orders progress through fulfillment without unnecessary delays.
Confirm accurate shipping details and assist with tracking information after orders are processed.
Maintain accurate order records and enter or update information in company systems.
Keep sales representatives informed of order issues, payment concerns, inventory limitations, shipping updates, and other relevant changes.
Help support customer satisfaction by ensuring orders are processed correctly and communicated clearly.
Stay informed about MRCOOL products, product compatibility, ordering procedures, and new product releases.
Follow established company policies, approval processes, and order-processing procedures.
Perform other sales order support duties as assigned.

Qualifications

Previous experience in sales order processing, order entry, sales operations, administrative support, or a related role is preferred.
Strong attention to detail and commitment to order accuracy.
Ability to review pricing, payments, quantities, product numbers, and shipping information.
Strong organizational, prioritization, and multitasking skills.
Ability to meet deadlines and adjust to changing inventory or order requirements.
Effective written and verbal communication skills.
Ability to work collaboratively with sales representatives and multiple internal departments.
Basic computer proficiency, including spreadsheets, data-entry systems, and order-management software.
Strong basic math skills.
Ability to learn HVAC product relationships and recognize whether equipment and accessories are compatible.
Ability to identify discrepancies and resolve or escalate them appropriately.
Dependable, flexible, and comfortable working in a fast-paced environment.
