Operations & Administrative Associate

Oldsmar, Florida

Contract / Part-Time or Full-Time Opportunity | Primarily On-Site

Compensation: $20–$25 per hour, based on experience and capabilities

About Swiss Behavioral Health

Swiss Behavioral Health is a new, family-run behavioral health organization serving the Tampa Bay community.

We are building a small, highly personal organization focused on excellent behavioral healthcare and are looking for an energetic, dependable and highly organized person to help us keep things moving.

This is an excellent opportunity for someone earlier in their career who wants real responsibility, exposure to different parts of a growing organization and the opportunity to grow with us. Prior behavioral health experience is helpful, but it is not required. We care much more about initiative, attitude, communication skills, reliability and follow-through.

The Role

This is primarily an administrative and operations position. You will work closely with the founder and other members of the Swiss Behavioral Health team to help manage the many day-to-day activities required to operate and grow the organization. We are looking for someone who is comfortable being given a task or problem, figuring out what needs to happen and following it through to completion.

Answer incoming telephone calls and direct or follow up on inquiries appropriately.
Communicate professionally and compassionately with prospective patients, families, clinicians, vendors and other callers.
Manage calendars, appointments and schedules.
Organize documents, files and administrative records.
Prepare correspondence, spreadsheets, presentations and other materials.
Maintain administrative trackers and follow up persistently on outstanding items.
Support intake and admissions administration.
Assist with staff and clinician onboarding paperwork.
Help coordinate credentialing, licensing and compliance documentation.
Follow up with vendors, consultants, insurers and other outside organizations.
Order supplies and help manage day-to-day office needs.
Coordinate meetings and prepare meeting materials.
Assist leadership with special projects.
Help ensure administrative tasks do not fall through the cracks.

This is not primarily a sales or business-development position. Business development is handled separately. However, because we are a small and growing company, we want someone who is willing to help when needed rather than thinking narrowly about a job description.

Help prepare materials for a meeting, conference or referral visit.
Occasionally accompany leadership to a local meeting, conference or business event.
Assist with an event or community activity.
Deliver or collect documents or materials when needed.
Help coordinate travel or meetings.
Support a project outside normal administrative responsibilities.
Step in and help solve an unexpected operational problem.

The majority of the job will be office-based operations and administration. We simply want someone who is adaptable, energetic and willing to help the team get things done.

Experience & Education

High school diploma or equivalent required.
Some college, community college, associate degree or bachelor's-level coursework preferred.
Strong written and verbal communication skills.
Comfortable using Microsoft Office and/or Google Workspace.
Comfortable learning new software and administrative systems.
Strong organizational skills and attention to detail.
Professional telephone manner.
Reliable transportation and ability to travel locally when occasionally required.

Previous experience in healthcare, behavioral health, a medical office, hospitality, customer service or office administration is helpful but not required. We are willing to teach the right person.
