About the Role

We are a growing manufacturing company seeking a hands-on Accounting Specialist to support Finance functions. This is a critical operational role requiring someone who can step in quickly, navigate systems confidently, and contribute with minimal training.

The Accounting Specialist is responsible for supporting day-to-day accounting operations with a primary focus on high-volume Accounts Payable, three-way matching, vendor account reconciliation, collections, filing, and accounting record maintenance.

This position requires someone who is highly organized, detail-oriented, self-directed, and comfortable taking ownership of their responsibilities from beginning to end. The ideal candidate understands basic accounting principles, can identify and research discrepancies, and is willing to follow through until issues are resolved.

This is a hands-on position requiring accuracy, organization, good judgment, and the ability to manage multiple priorities with minimal supervision.

With an upcoming team transition, continuity is essential — we are looking for a candidate with direct, real-world experience in accounting operations support.

Duties & Responsibilities

Accounts Payable

Process a high volume of Accounts Payable invoices accurately and timely.
Perform three-way matching of purchase orders, receiving documentation/packing slips, and vendor invoices.
Review invoices for pricing, quantities, terms, approvals, and supporting documentation.
Identify discrepancies between purchase orders, receipts, and invoices and independently research the cause.
Work with purchasing, receiving, vendors, and other departments to resolve discrepancies.
Verify proper accounting and coding of invoices prior to processing.
Review vendor statements and reconcile outstanding invoices, credits, and payments.
Research duplicate invoices, missing documentation, unapplied credits, pricing differences, and other account discrepancies.
Maintain complete and accurate supporting documentation for Accounts Payable transactions.
Follow outstanding issues through to resolution rather than simply forwarding or deferring problems.

Accounts Receivable & Collections

Assist with Accounts Receivable account maintenance and reconciliation.
Review customer accounts for past-due balances.
Make professional collection calls and send collection correspondence regarding outstanding invoices.
Research customer payment discrepancies, short payments, unapplied payments, credits, and disputed invoices.
Maintain accurate notes and follow-up dates on collection activity.
Work independently to follow outstanding balances through resolution.
Escalate significant account issues when appropriate.

Filing & Accounting Records

Maintain an accurate, organized, and easily retrievable filing system for accounting records.
Properly file invoices, purchase orders, packing slips, payment documentation, customer records, and other accounting documents.
Understand the importance of document organization and maintaining a clear audit trail.
Retrieve supporting documentation quickly when requested.
Identify missing or incomplete documentation and follow up to obtain it.
Maintain both electronic and physical accounting records as required.

Problem Solving & Ownership

Take ownership of assigned responsibilities and follow tasks through to completion.
Independently investigate accounting discrepancies before escalating them.
Recognize when something does not look correct and take appropriate steps to research the issue.
Communicate clearly with vendors, customers, and internal departments to obtain information and resolve problems.
Prioritize workload effectively in a high-volume environment.
Meet deadlines without requiring continual reminders or supervision.
Keep outstanding issues organized and actively follow up until they are resolved.

Qualifications

Previous experience in an accounting, Accounts Payable, Accounts Receivable, or similar accounting support position.
Strong understanding of basic accounting principles and processes.
Experience with high-volume Accounts Payable strongly preferred.
Experience performing three-way matching of purchase orders, receiving documentation, and invoices.
Experience with customer collections and resolving past-due accounts.
Ability to reconcile accounts and research discrepancies.
Strong computer skills, including Microsoft Excel and accounting/ERP software.
Ability to learn and effectively use established filing and document-management systems.

Performance Expectations

Success in this position requires more than data entry or invoice processing. The Accounting Specialist is expected to understand the accounting transactions being processed, recognize when information does not match, research discrepancies, maintain organized supporting documentation, and take responsibility for seeing assigned work through to completion.
