Full Job Description

The HR Associate supports the day-to-day operations of Human Resources at MSSCA. This role provides administrative and operational support for a variety of HR functions, including recruitment, onboarding, employee records, benefits administration, employee communications, and compliance initiatives. The HR Associate serves as a resource for employees and managers by assisting with HR processes, responding to routine inquiries, and ensuring accurate and timely completion of HR-related tasks.

The HR Associate plays an important role in supporting a positive staff experience by promoting excellent customer service, maintaining confidentiality, and assisting with HR initiatives that align with MSSCA’s mission, values, and commitment to a diverse and inclusive workplace.

Essential Functions and Tasks:

Understand, practice, and promote the vision and core values of Mat-Su Services for Children & Adults.
Support recruitment efforts by posting positions, screening applications, scheduling interviews, coordinating candidate communications, and assisting hiring managers throughout the hiring process.
Prepare new hire paperwork and assist with onboarding and orientation to ensure a positive employee experience.
Serve as a first point of contact for routine employee questions, directing more complex matters to the Operations Director or appropriate leadership.
Complete employment verifications in accordance with agency policy.
Assist with employee engagement initiatives and support a positive workplace culture aligned with the agency's mission and values.
Assist employees with benefit enrollment, changes, and general benefit-related questions.
Assist with tracking employees’ leave requests and maintain leave documentation in accordance with agency policies and applicable laws.
Assist with the administration and tracking of Workers' Compensation claims and related documentation.
Maintain accurate personnel files, HR records, and electronic employee data while ensuring confidentiality and data integrity.
Maintain the Human Resources Information System (HRIS), including data entry, reporting, and record updates.
Monitor and track required employee training, certifications, and compliance deadlines, notifying employees supervisors of upcoming requirements.
Assist with coordinating employee training sessions, orientations, and professional development activities.
Prepare HR documents, reports, and correspondence as requested.
Assist in updating HR forms, procedures, and employee handbook materials under the direction of the Operations Director.
Provide front desk coverage and administrative support as needed.
Maintain confidentiality of employee information and sensitive agency records.
Perform other related duties as assigned.

Education

Associates degree or equivalent experience in HR or Administration.
SHRM Certified Professional (SHRM-CP) or HRCI aPHR/PHR preferred.

Experience

2-3 years of progressive HR and recruiting experience.
Experience working in a non-profit or mission-driven environment preferred.
Working knowledge of employment laws and HR best practices preferred.

Knowledge, Skills and Abilities Required

Proficient with standard computer operating systems. Ability to navigate Microsoft Office Suite, online databases, and other programs and websites as required.
Excellent written and verbal communication skills.
Strong organizational skills, with the ability to manage multiple tasks, deadlines, and priorities.
Detail oriented with a high level of accuracy in data entry, record keeping, and documentation.
Can maintain confidentiality while understanding and complying with requirements of mandated reporting, duty to warn, HIPAA, and other limits to confidentiality.
Have the willingness and ability to work outside of normal business hours as well as Holidays and weekends as needed.
Ensure compliance with all MSSCA required ongoing training, certifications and background checks.
Demonstrate the ability to work both independently and as part of a team.
As needed possess a current and valid driver’s license.
- Driving record to be assessed by HR.

Licensure, Certification, Registrations and pre-hire requirements: A current TB test, valid Alaska driver’s license with two (2) years driving experience, and proof of automobile insurance must be submitted prior to employment. Successful candidates must pass federal, state and local background checks Candidate must also provide three (3) verifiable references.

Work Environment:

- Environment: Majority of work will be performed in an office environment with fluorescent lighting and minimal opportunities for exposure to natural lighting throughout the workday. Moderate exposure to food/cooking odors. Dense staff population often requires sharing workspaces with minimal personal space and noticeable exposure to conversations and other distractions. Some driving with various road conditions may be required with exposure to a variety of temperatures and walking surfaces.
- Hazards: Exposure to repetitive motion during data entry requires a high level of compliance with best practices of ergonomics, body mechanics and suggested breaks. This position may require de-escalating verbally or physically aggressive individuals or employees. Unpredictable employee interactions are also possible.
