Position Summary:
The Grants Support Specialist provides administrative and technical support to the Grants Department by assisting with grant development, recordkeeping, and compliance activities. Working closely with senior grant staff, program staff, and the Finance Department, this position helps ensure grant-funded programs are administered in accordance with Tribal policies, funding requirements, and established deadlines.
Primary Duties and Responsibilities (including but not limited to):
· Provides general administrative and technical support to the Grants Department.
· Monitor grant announcement websites and distribute funding opportunities to appropriate departments.
· Maintain a funding opportunity calendar and track grant application, reporting, and compliance deadlines.
· Serve as a liaison between department during proposal development by coordinating the collection of required information and supporting documentation.
· Assist grant writers by gathering organizing, formatting, and proofreading proposal materials and supporting documents.
· Assist with establishing grant and contract files and maintaining complete award documentation, budgets, and supporting records.
· Maintain grant files, perform data entry, maintain electronic records and grant tracking databases, and update reporting calendars to ensure accurate and timely grant administration.
· Assist with award acceptance documentation and grant closeout activities.
· Ensure grant records are organized and maintained in accordance with Tribal policies and funding agency requirements.
· Assist with compiling and organizing documentation to support grant applications, award management, reporting, audits, monitoring visits, and grant closeout activities.
· Develop a working knowledge of applicable grant regulations, including Davis-Bacon requirements, matching funds, environmental reviews, procurement standards, allowable costs, reporting requirements, and other funding agency regulations.
· Work closely with Finance regarding budgets, match requirements, and financial documentation.
· Assist departments in gathering documentation needed for audits, monitoring visits, and grant reporting.
· Serve as backup to the Grants Manager during periods of absence by providing continuity of grant administration activities, responding to routine inquiries, coordinating time sensitive grant matters, and escalating issues as appropriate.
· Maintain confidentiality of sensitive financial and organizational information.
· Maintain positive working relationships with funding agencies, partners, and internal stakeholders.
· Participate in training and professional development related to grant administration, compliance, and funding opportunities.
· Perform other duties as assigned.

· Strong technical skills, including demonstrated proficiency with Microsoft Office Suite and other standard office applications.
· Ability to interpret and apply grant guidelines, policies, procedures, and funding requirements.
· Ability to work independently and collaboratively with internal departments, external partners, and funding agencies.
· Demonstrated ability to exercise sound judgement, make informed decisions, and maintain professionalism in a fast-paced environment.
· Ability to maintain confidentiality and safeguard sensitive financial, organizational, and grant-related information.
· Strong interpersonal skills, with the ability to establish and maintain effective working relationships.
· Willingness to learn, adapt to changing priorities, and participate in ongoing professional development.
Minimum Requirements
· Associates degree in Business Administration, Public Administration, Project Management, Communications, or a related field required; Bachelor’s degree preferred.
· Three (3) years of experience in grants administration, proposal coordination, program administration, or a related administrative role.
· Experience working with federal, state, Tribal, or nonprofit grant-funded program preferred.
· Strong organizational skills with the ability to manage multiple concurrent projects and deadlines.
· Excellent written communication, proofreading, and document formatting skills.
· Proficiency with Microsoft Office Suite, Adobe Acrobat, and document management systems.
· Ability to build collaborative relationships across departments while maintaining confidentiality.
· Must have a valid driver’s license and good driving record.
· Clean state and federal background check.

Schedule: Monday – Friday; 8:00 AM – 5:00 PM
Salary: $24.00 - $28.00 per hour DOE/E. Plus full benefits: Federal Employee Health Benefits (FEHB) medical, dental, vision, life insurance, paid leave and holidays, and retirement plan with matching contributions.
