ECC-Southern California (ECC SoCal)

ECC-SoCal ensures that equity-focused sustainable development projects are implemented by connecting residents and businesses from disadvantaged communities to jobs and contract opportunities in energy efficiency, renewable energy, and green infrastructure. Specifically, ECC-SoCal is the workforce education and training implementer for the Southern California Regional Energy Network (SoCalREN), a network of over 200 government agencies. SoCalREN is organized to provide project development, financing, and workforce services to government agencies to help meet California’s energy efficiency goals.

OVERVIEW OF POSITION

The Senior Administrative Assistant provides high-level administrative, operational, and program support to regional leadership and serves as a key contributor to the efficient functioning of the SoCal region. This position requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced nonprofit environment. The Senior Administrative Assistant serves as a central point of coordination for executive regional support, office operations, and cross-regional programs. This position requires exceptional discretion, sound judgment, and an ability to manage complex, fast-paced environments in alignment with ECC’s mission.

The position works under the direct supervision of the SoCal Regional Director.

Location: Hybrid (Southern, CA; In-Office in Pasadena, CA)

Job Type: Full-Time Temporary, Exempt

Compensation: $77,000-$82,000

MAJOR RESPONSIBILITIES

Executive and Administrative Support

· Provide comprehensive administrative support to senior leadership, including calendar management, scheduling, and coordination of internal and external meetings.

· Prepare meeting agendas, presentations, briefing materials, reports, and correspondence.

· Record and distribute meeting minutes and track action items to ensure timely follow-up and completion.

· Coordinate domestic travel arrangements, including transportation, lodging, itineraries, and related logistics.

· Process and reconcile business expenses and ensure timely submission of documentation.

· Manage confidential information and sensitive organizational matters with professionalism and discretion.

· Serve as a liaison between organizational leadership, staff, and funders.

Office Operations and Administration

· Support day-to-day office operations to maintain an efficient and productive work environment.

· Serve as a primary point of contact for incoming communications, including phone calls, emails, visitors, and mail.

· Draft, proof, and manage correspondence, briefing documents, presentations, and talking points for internal and external audiences

· Maintain office supplies, equipment, and vendor relationships to ensure effectiveness.

· Develop, maintain, and organize electronic and physical filing systems.

· Prepare, distribute mail, reports, and correspondence.

· Enter, update, and maintain accurate information in organizational databases and systems.

Meeting and Event Coordination

· Coordinate logistics for meetings, conferences, and organizational events.

· Arrange meeting locations, technology, catering, materials, and participant communications.

· Support planning and execution of leadership meetings, staff gatherings, and stakeholder events.

· Ensure meeting materials and documentation are prepared and distributed in a timely manner.

· Coordinate regional leadership meetings.

· Prepare meeting materials, agendas, board packets, and supporting documentation.

· Record and maintain meeting minutes and governance records.

· Maintain files, and organizational records.

· Track directives and action items to ensure timely follow-up.

Project Coordination and Organizational Support

· Assist with planning, tracking, and implementation of organizational initiatives and special projects.

· Monitor project timelines, deliverables, and deadlines, ensuring progress and accountability.

· Collaborate with regions and departments across the organization to facilitate communication.

- Partner with Finance, HR, and Operations to oversee compliance with organizational policies related to expense reporting, travel, and documentation.

· Support activities, stakeholder engagement efforts, and strategic initiatives as assigned.

· Assist with implementation and maintenance of organizational systems, tools, and processes.

Contracts & Procurement

- Coordinate the review, tracking, and execution of SoCal’s contracts and MOUs in collaboration with relevant departments.

- Maintain centralized filing systems for regional agreements and ensure compliance with ECC’s procurement protocols.

Perform other duties as assigned.

EXPERIENCE & QUALIFICATIONS

Required

· Associate’s or Bachelor’s degree in Business Administration, Public Administration, Communications, or a related field, or an equivalent combination of education and experience.

· Minimum of 7 years of progressively responsible administrative experience, preferably supporting leadership in an organization.

· Strong organizational and time-management skills with the ability to prioritize multiple tasks and deadlines.

- Excellent writing, verbal, editing, and interpersonal communication skills.

· Demonstrated ability to maintain confidentiality and handle sensitive information.

· Strong attention to detail, accuracy, and problem-solving skills.

· Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.

Preferred

· Experience supporting executive leadership.

· Experience in nonprofit organization.
