Overview
We are seeking an energetic and dedicated On-site Resident Manager to assist in the oversight of daily operations at a residential property. This role is vital in ensuring a positive living experience for senior residents while maintaining property standards and operational efficiency. The ideal candidate will possess strong interpersonal skills, exceptional customer service abilities, and working knowledge of property management systems and regulations. This position offers an exciting opportunity to be part of a team, manage tenant relations, and ensure the smooth functioning of the property in a dynamic environment. In addition, part of this position's compensation includes a non-smoking, 1-bedroom unit, onsite at the property.
Responsibilities
Property Management:
· Check community areas and shared spaces for cleanliness
· Oversee building operations; common areas, grounds, and routine maintenance
· Coordinate repairs and preventative maintenance, conduct regular property inspections.
· Assist with annual inspections.
· Ensure physical standards for sites are achieved in accordance with the expectations of the organization.
· Perform move-in inspections with tenants; review lease and house rules with new tenants and instruct with use of appliances, etc.
· Perform move-out inspections in coordination with Property Supervisor or Maintenance Supervisor.
· Assist with special projects on teams of property management
· Ensure work orders are prioritized and completed according to policy.
· Other duties as assigned
Leasing:
· All duties related to processing tenant applications including accepting and receiving applications, qualifying applicants by checking credit and criminal background checks, previous landlord and other references, verify income, maintain waiting list, showing apartments, and reviewing lease contracts with tenants.

· Ensure leasing procedures are followed and occupancy levels are at standards.
· Annually recertify tenants by the effective date
· Arrange for re-keying locks.
· Process security deposit refunds in a timely manner to Property Supervisor.
· Reinforce lease, addendums, house rules, with proper notice.
Rent & Financials
· Collect rent and payments
· Track tenant account ledgers
· Prepare monthly rent roll and basic financial reports
· Work with management on budgeting and expense control
Resident Services & Relations:
· Provide customer service to seniors
· Coordinate support service referrals
· Handle resident concerns
· Enforce lease terms and community rules with tact and fairness.
Safety & Emergency Response
· Serve as on-site contact for emergencies
· Implement emergency preparedness procedures
· Coordinate with local emergency services
· Maintain records of incidents.
Administrative & Recordkeeping
· Maintain accurate tenant files, inspection reports and required reports
· Handle correspondence and phone inquiries
· Attend training classes and seminars to stay current with appropriate property required certifications.
Team & Community Coordination:
· Liaise with property management company, local service providers and community partners.
- Manage day-to-day property operations, including leasing, maintenance coordination, and resident relations.
- Collaborate on lease or rental agreement management, ensuring all documentation complies with legal standards and company policies.
- Utilize property management tool, Yardi to track occupancy, rent payments, and maintenance requests efficiently.
- Handle conflict management with residents or vendors professionally, resolving issues promptly while maintaining positive relationships.
- Ensure compliance with Fair Housing regulations, landlord-tenant law, LIHTC (Low-Income Housing Tax Credit), Section 8 housing programs, and other relevant legal requirements.
- Maintain accurate data entry, filing systems, and administrative records related to leasing, rent collection, and tenant communications.
- Communicate effectively with clients and residents via phone etiquette and professional client communication practices.
- Assist in annual and ongoing inspections in accordance with HUD guidelines and best practices.
Qualifications
- Experience preferred in property management or real estate administrative roles with familiarity using Yardi similar property management software.
- Familiarity with landlord-tenant law, Fair Housing regulations, LIHTC compliance, and Section 8 housing programs.
- Excellent conflict management skills with the ability to resolve disputes amicably.
- Demonstrated team management capabilities with experience supervising staff in a property management setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for reporting and correspondence purposes.
- Knowledge of property maintenance procedures and facilities management practices.
- Exceptional customer service skills with a focus on client communication and relationship building.
- Office experience including data entry, filing systems, phone etiquette, and administrative support functions.
- Ability to handle multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
Requirements
· High school diploma or GED required; Associated degree in property management, social services, or related field preferred.
· General computer literacy
· Proficiency in Microsoft office
· Strong verbal and written communication skills
· Ability to work with people of all cultures and economic status
· Bilingual (English/Spanish) may be required and always highly preferred.
· Ability to provide professional and courteous customer service
· Works collaboratively in team environment
· Ability to prioritize, multitask, and meet deadlines
· Experience working in an office environment and using office equipment
· Experience in affordable housing property management is highly desirable
· Proven ability and experience maintaining confidentiality with proprietary company information and personal client information
· Valid CA driver's license, proof of insurance and access to a reliable vehicle.
· Light lifting (up to 20 pounds), walking, bending, climbing stairs, and squatting for a short period of time.
