Job Summary

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Answer multi-line phone systems efficiently, directing calls accurately and professionally.
Manage appointment scheduling and calendar coordination using productivity software and calendar management tools.
Handle data entry tasks with precision using spreadsheets, word processing, and other Microsoft Office applications.
Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents.
Support office management activities such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks.
Provide customer support by addressing inquiries via phone or email, ensuring excellent client communication and service.

Requirements

Proven experience in office administration or front desk reception roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace tools.
Excellent computer literacy with the ability to learn new software quickly.
Strong organizational skills with keen attention to detail for proofreading, data entry, and filing tasks.
Exceptional phone etiquette and communication skills; experience managing multi-line phone systems is preferred.
Bilingual abilities are a plus to effectively serve diverse client needs.
Prior experience with office management software such as QuickBooks is desirable.
Demonstrated ability to multitask efficiently while maintaining a positive attitude in a fast-paced environment.
