Full Job Description

Job Overview

We are seeking a motivated and highly organized Office Manager to be solely responsible for the daily operations of our family -owned and operated construction company, located in Marin County. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports a productive workplace. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to foster a welcoming and well-managed office space. As the central point of contact for administrative functions, you will play a key role in enhancing overall organizational productivity and client satisfaction.

Duties

Responsible for Accounts Receivable and Accounts Payable bookkeeping functions using Quickbooks Online
Prepare job estimates and contracts, including obtaining vendor quotes in preparation of estimates and strong coordination with customer to understand scope of work to be performed
Obtain required permits and manage required inspections
Work with insurance vendors
Maintain corporate records, including necessary business licenses
Prepare timely job profitability and financial reports
Manage front desk responsibilities such as greeting visitors, answering inquiries, and directing calls with professionalism and providing excellent customer service
Maintain accurate data entry records, spreadsheets, and filing systems to support administrative efficiency
Support document preparation through word processing, proofreading, and managing correspondence

Skills

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Skilled in data entry, filing systems, and maintaining detailed records with high accuracy
Excellent communication skills, demonstrating clear client communication and phone etiquette
Experience with bookkeeping software like QuickBooks for financial transactions and record keeping
Strong time motivational skills to prioritize tasks efficiently in self directed work environment
Previous experience in the construction industry is advantageous but not required
Ability to handle clerical duties such as proofreading, calendar management, and customer support with professionalism
