HR COORDINATOR

Job Summary:

We are seeking a full-time Human Resources Coordinator who is responsible for providing administrative and operational support for our diverse population of restaurant employees at all business locations. We are seeking an individual who values a high level of customer service, has exceptional attention to detail, strong verbal and written communication skills, and is eager to continuously learn. The Human Resources Coordinator must be able to work independently. This position performs professional work of considerable difficulty, overseeing various administrative functions related to human resources to support the shareholders' long-term goals.

The HR Coordinator will manage our employment policies and processes and train new managers either in-person and/or via Zoom. The ideal candidate will be comfortable presenting information and successfully engage with our new managers and assist with their onboarding and personnel questions. This role administers employee health and welfare plans and acts as liaison between employees and insurance providers. This role provides administrative support to the accounting and payroll function as needed, including record-keeping, file maintenance, and HRIS entry.

Supervisory Responsibilities:

This position has no direct supervisory responsibilities but does serve as a coach and mentor for other positions in the department.

Duties/Responsibilities:

Administers health and welfare plans, including enrollments, changes and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
Performs customer service functions by answering employee requests and questions.
Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
Submits online investigation requests and assists with new-employee background checks.
Reconciles benefits statements.
Conducts audits of payroll, benefits or other HR programs and recommends corrective action.
Assists with processing of terminations.
Assists with the preparation of the performance review process.
Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
Schedules meetings and interviews as requested by the director of HR.
Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
Files documents into appropriate employee files.
Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
Draft and/or generate routine communications such as offer letters, employment change memos/agreements, and I-9 employment documents. File and track documents appropriately.
May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training.
Perform human resources transactional support (job posting and maintenance in Applicant Tracking System, timecard approval and adjustments, basic HR web forms, I-9 processing, HR reporting, maintain digital personnel files).
Act as courier for the Human Resources team (e.g. sending out mailings and employment documents, picking up checks).
Assists or prepares correspondence as requested.
Prepares new-employee files.
Processes mail.
Performs other related duties as assigned.

Required Skills/Abilities:

Working understanding of human resource principles, practices and procedures.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Proficient with Microsoft Office Suite or related software.

Education and Experience:

Bachelor's degree in human resources or related field and/or equivalent experience.
At least two years related experience required.
SHRM-CP credential preferred.
May travel by own car or across restaurant locations in the bay area.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
