Arouet is a Phoenix-based nonprofit dedicated to expanding opportunity for women impacted by the justice system. Through comprehensive navigation, workforce development, and supportive services, we help participants build stable futures, strengthen economic mobility, and successfully reintegrate into their communities.

About the Role

Arouet is looking for a Business Systems Analyst & Administrator to serve as the primary administrator of our Apricot 360 case management system.

This is more than a database administrator role. We are looking for someone who can understand how our programs actually work, identify opportunities to improve processes, and translate staff and organizational needs into practical system solutions.

You will work closely with program staff and leadership to improve workflows, reporting, dashboards, data quality, and the overall user experience within Apricot.

Job Description

Serve as the primary administrator for Apricot 360, including user accounts, permissions, security settings, forms, records, workflows, and system configuration.
Learn Arouet's existing Apricot environment, program workflows, data structure, and reporting needs.
Partner with staff to understand business needs and translate them into practical system improvements.
Build and modify forms, workflows, database relationships, reports, and dashboards.
Improve participant tracking, outcome measurement, funder reporting, and performance monitoring.
Analyze data and develop reporting tools that support program and organizational decision-making.
Conduct data quality reviews, audits, cleanup, and troubleshooting.
Maintain data standards, documentation, and governance practices.
Test system enhancements before implementation and coordinate user acceptance testing.
Provide training and ongoing support to Apricot users.
Develop user guides, procedures, and training materials.
Prioritize and manage system enhancement requests and improvement projects.
Stay current on Apricot updates, new functionality, and system best practices.

Skills

Required:

At least 2 years of experience administering, configuring, or supporting Apricot, Salesforce, Microsoft Dynamics, ETO, Bonterra products, or a similar CRM/case management platform.
Experience gathering business requirements and translating them into technical solutions.
Experience with business process analysis and process improvement.
Experience building forms, reports, dashboards, workflows, or database structures.
Strong analytical, troubleshooting, and problem-solving skills.
Experience with data quality, reporting, performance metrics, and outcome tracking.
Experience training or supporting end users.
Strong communication and collaboration skills.
Proficiency with Microsoft Office, particularly Excel.

Preferred:

Direct experience with Apricot 360/Apricot Enterprise.
Experience working with nonprofits, social service organizations, or grant-funded programs.
Experience with Power BI, Tableau, Bonterra Impact Hub, or similar reporting and visualization tools.
Experience managing technology or software implementation projects.
Knowledge of data security, privacy, and compliance practices.
Bachelor's degree in Business Information Systems, Information Technology, Data Analytics, or a related field, or 5+ years of relevant professional experience.

Work Environment

This position may be fully remote or hybrid, depending on the candidate's location and experience.

Candidates located in the Phoenix metro area may work a hybrid schedule with a combination of in-office and remote work. Qualified candidates outside the Phoenix area may work fully remotely.

Occasional flexibility may be required for system maintenance, upgrades, training sessions, or organizational initiatives.
