Full Job Description

Role: Operations Coordinator

Department: Operations

Reports To: Chief Operating Officer

FLSA Status: Exempt, full‑time, in‑person

Salary Range: $42,000–$52,000

Position Summary

The Operations Coordinator ensures smooth, efficient day‑to‑day operations of the McElhattan Foundation by providing essential administrative, systems, and coordination support across the organization. Reporting to the Chief Operating Officer, this role serves as the first point of contact for visitors and general inquiries, supports office operations, meeting logistics, grantee support, and grants systems administration, and helps maintain operational discipline, staff productivity, and a welcoming, professional experience for external partners and stakeholders in a small, collaborative foundation environment.

Key Responsibilities

1. Office Operations & Administration

Coordinate daily office operations to support a well‑functioning, welcoming, and efficient workplace.
Serve as the primary point of contact for in‑person visitors, phone calls, and general inquiries.
Manage office calendars, meeting room usage, and shared schedules.
Order and maintain office supplies, kitchen items, and equipment; track inventory and vendor relationships.
Coordinate catering and refreshments for meetings, events, and board gatherings.
Manage incoming and outgoing mail, deliveries, and basic facilities coordination.
Maintain well‑organized digital and physical files and shared resources.

2. Meeting & Scheduling Support

Support the Executive Director with scheduling and calendar management, including coordinating meetings, managing availability, and ensuring priorities and deadlines are effectively organized.
Schedule internal team meetings and coordinate availability across staff.
Prepare meeting rooms and virtual meetings, including materials, technology setup, and logistics.
Support recurring meetings such as staff meetings, pipeline reviews, and planning sessions.
Assist with preparation of agendas, materials, and follow‑up documentation as needed.

3. Grantee, Communications & Systems Support

Serve as a point of contact for grantees regarding grants management system questions, escalating complex issues to the Chief Operating Officer.
Monitor and manage the Foundation’s general inbox ([email protected]), ensuring timely, accurate, and professional responses.
Provide administrative support within Salesforce, including data entry, record maintenance, and monitoring reporting and compliance requirements.
Run standard and ad hoc Salesforce reports and prepare materials for pipeline meetings and internal summaries.
Support data accuracy, consistency, and documentation of grant, contact, and organizational records.

Qualifications

Associate or Bachelor’s degree preferred, or equivalent professional experience.
3+ years of administrative, office coordination, or operations experience, preferably in a corporate, philanthropic, or professional office setting.
Strong organizational and time‑management skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Comfort working with databases and administrative systems; Salesforce experience strongly preferred.
Ability to manage multiple priorities independently and meet deadlines.
Professional, welcoming demeanor with a strong customer‑service orientation.

Technical Knowledge and Skills

Proficiency with Microsoft 365 (Excel, Word, PowerPoint, Outlook).
Experience with Google Workspace tools for scheduling and document management.
Experience with Salesforce or similar CRM/grants‑management systems preferred.
Comfort managing digital files, shared drives, and administrative documentation.
