Job Summary
We are seeking a dedicated and detail-oriented Ophthalmic Scribe/Clinical Assistant/Technician to support our medically based optometric team. The ideal candidate will be capable of operating at a high clinical level with expanded responsibilities that span the full patient encounter while directly assisting the doctor. Unlike a traditional ophthalmic scribe, this position is not limited to documentation but would be a true efficiency multiplier that keeps the exam flow moving while helping to ensure that every patient receives thorough, high-quality care.
Responsibilities
Pre-Exam
- Demonstrates proficiency in patient work-up / pretesting (AR, Keratometry, lensometry, tonometry, OCT, HVF, & Fundus photography)
- Able to perform comprehensive ophthalmic work up (Chief complaint, comprehensive medical history, visual acuity, confrontation VF, pupil evaluation, and anterior chamber evaluation)
- Ensure that the exam room, EHR, and patients are fully prepared for the doctor
- Contact lens over-refraction and basic insertion and removal
During Exam
- Scribe the doctors’ findings, assessment, and plan into the EHR in real time.
- Assists the doctor in ensuring that all related medical information is properly documented and gathers any additional testing / products needed in the exam.
- Provide excellent patient service by addressing questions, explaining procedures clearly, and ensuring a comfortable experience for each patient
- Assist the doctor by managing patient flow factoring in complexity, wait-time, and urgency.
Post Exam
- Educates the patient as directed by the doctor (diagnosis, treatment plan, medications, optical products, follow ups and referrals)
- Handles prescription refills, prior authorizations, contact lens orders, etc.
- Supports the optical handoff to ensure the patient is receiving the quality of optical product that was recommended by the doctor.
- Provides an extra level of quality control and team development by reviewing charts for completeness and coding efficiency.
- Ideally would serve as a clinical resource and support for technicians encountering unfamiliar or complex patient scenarios.
Skills
- Adaptability in relation to individual doctor preferences regarding delegation, scribing style and clinical workflow.
- Strong knowledge of medical terminology related to optometry, ophthalmology and general healthcare practices.
- Familiarity with electronic health records (EHR) systems for efficient documentation and data management.
- Experience operating ophthalmic diagnostic imaging equipment.
- Ability to perform direct patient care activities while maintaining professionalism, compassion, and confidentiality.
- Knowledge of HIPAA regulations to always ensure compliance with patient privacy standards.
- Excellent communication skills and professional demeanor at all times for effective interaction with patients, physicians, and team members.
