Office Assistant – Panhandle Popcorn Company

Position Summary
The Office Assistant is responsible for providing administrative and customer service support to ensure the smooth daily operation of Panhandle Popcorn Company. This position requires excellent organizational skills, attention to detail, and a friendly, professional attitude. The ideal candidate enjoys working in a fast-paced environment and is willing to assist with a variety of office and business tasks.

Essential Duties & Responsibilities

Answer and direct incoming phone calls professionally.
Greet customers, vendors, and visitors.
Respond to emails and customer inquiries.
Process customer orders and prepare invoices.
Maintain accurate customer records and filing systems.
Assist with accounts receivable and accounts payable tasks.
Enter data into company software and maintain databases.
Prepare deposits and assist with daily bookkeeping duties.
Coordinate office supplies and place orders as needed.
Assist with scheduling deliveries, service appointments, and employee calendars.
Help prepare reports, spreadsheets, and other business documents.
Assist with inventory tracking and office organization.
Support sales and marketing projects, including mailings and promotional materials.
Maintain confidentiality of company and customer information.
Perform other administrative duties as assigned.

Qualifications

High school diploma or equivalent required.
Associates degree or higher preferred.
Previous administrative or office experience preferred.
Proficient with Microsoft Office (Word, Excel, Outlook); experience with accounting software or QuickBooks is a plus.
Strong written and verbal communication skills.
Excellent organizational and time management skills.
Ability to prioritize multiple tasks with minimal supervision.
Professional appearance and positive attitude.
Strong attention to detail and accuracy.
Ability to lift up to 25 pounds occasionally.

Preferred Skills

Customer service experience.
Basic bookkeeping knowledge.
Experience with inventory management.
Social media or marketing experience is a plus.

Work Schedule

Full-time or Part-time (based on business needs)
Monday–Friday
Occasional evenings or weekends for special events or company functions.
