Full Job Description

Position Summary

Red Cedar Wealth Advisors is a growing retirement and wealth management practice serving pre-retirees and retirees nationwide. We are hiring a full-time Client Service Associate to run the back office: processing account paperwork, answering the phone, taking care of clients, and keeping the day-to-day operations organized and accurate. This is the person who makes sure nothing falls through the cracks while the advisor is in front of clients.

The right fit has already worked in the securities industry or in financial services back office and understands how account forms, custodians, and client information are handled. You do not need to be licensed to start, but you do need to be dependable, detail-oriented, discreet with confidential information, and comfortable talking with clients on the phone. This is a client-facing operations role in a fast-moving, high-output practice.

Key Responsibilities

Client Service & Phones

● Answer incoming calls, greet clients, and serve as a warm, professional first point of contact for a nationwide client base served largely by phone and video.

● Schedule and confirm client meetings, manage the advisor’s calendar, and prepare meeting materials.

● Follow up with clients on outstanding items and keep them informed on the status of their requests.

● Handle client questions on service and paperwork matters and route investment or advice questions to the advisor.

Account Paperwork & Processing

● Prepare, complete, and submit new-account applications, transfers, distributions, and service forms to the broker-dealer and custodians.

● Track paperwork from submission through completion and follow up on anything not-in-good-order (NIGO).

● Maintain accurate, organized, and compliant client files, both physical and digital.

Office & Administrative Operations

● Keep the office running: filing, mail, supplies, scanning, and general day-to-day administration.

● Assist with light operational support for the practice’s marketing and client-communication workflows as needed.

Compliance Support

● Follow all firm and broker-dealer procedures for handling client information and documentation.

● Help keep records audit-ready and support the advisor in meeting supervisory and compliance requirements.

Required Qualifications

● Prior experience in the securities industry or financial services back office (e.g., broker-dealer, RIA, bank/trust, insurance, or custodian operations).

● Solid understanding of account paperwork and how client documents move through processing.

● Strong attention to detail and accuracy with forms, numbers, and records.

● Professional phone manners and genuine comfort interacting with clients.

● Reliable, organized, and able to manage multiple tasks and deadlines without dropping anything.

● Proficient with computers, email, and common office and CRM software.

● Able to pass a background check and be bondable, and to complete broker-dealer onboarding requirements.

Preferred Qualifications

● Experience at a broker-dealer or RIA, or with a custodian such as Fidelity, Schwab, or Pershing.

● Familiarity with Osaic (or a similar independent broker-dealer) systems and paperwork.

● SIE, Series 7, or Series 66 — or a willingness to pursue licensing over time.

● Experience with a CRM (GoHighLevel a plus) and comfort learning new technology quickly.
