Job Overview

We are seeking a detail-oriented and highly organized Clerical Associate to join our dynamic team. In this vital role, you will be responsible for managing documentation, ensuring regulatory compliance, and supporting cross-functional communication within our quality management and engineering departments. Your proactive approach and technical proficiency will help maintain the integrity of our document control systems, facilitate efficient workflow management, and uphold industry standards such as ISO 13485, ISO 9001, and FDA regulations. This position offers an exciting opportunity to contribute to a fast-paced environment committed to excellence in pharmaceutical and medical device manufacturing.

Duties

Maintain and update document management systems, including SharePoint and other electronic filing platforms, ensuring all records are accurate, accessible, and compliant with regulatory standards
Review, classify, and archive documents related to quality management, engineering projects, and regulatory submissions in accordance with ISO 13485, ISO 9001, and FDA regulations
Support document workflow management by coordinating document review processes and ensuring timely approvals across departments
Organize physical and electronic filing systems for easy retrieval of records while ensuring strict adherence to document control procedures
Assist in preparing documentation for audits, inspections, and regulatory submissions by verifying compliance with pharmaceutical regulatory standards
Collaborate with cross-functional teams to facilitate effective communication regarding document updates, project status, and compliance requirements
Utilize project management software to track document review cycles, action items, and deadlines efficiently

Experience

Proven experience in document control within the engineering or pharmaceutical industry is essential
Familiarity with ISO 13485, ISO 9001 quality management standards, and FDA regulations is highly desirable
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) as well as document management systems such as SharePoint or similar platforms
Strong organizational skills with the ability to manage multiple projects simultaneously while maintaining accuracy
Experience working with regulatory/legal compliance standards in production environments is preferred
Excellent communication skills for effective cross-functional collaboration and documentation review processes
Knowledge of project management software tools to coordinate workflows and track progress effectively
