Appointment Coordinator — Luxury Portrait Studio (Remote)

Pay: $45,000.00 – $65,000.00 per year

Deivis Archbold Photography and our boudoir brand, Divine by DAP, are a fine art portrait studio based in South Florida, serving clients from Miami to Fort Lauderdale to West Palm Beach. We create museum-quality portraits for families, couples, and women, and our work is built around one idea: our clients don't come to us for snapshots. They come for a meaningful, guided experience that results in artwork their family will treasure for generations.

We are hiring an Appointment Coordinator to be the first voice our clients hear.

What This Role Actually Is

You will be calling warm leads — people who have already applied for one of our exclusive portrait promotions and are expecting to hear from us. Your job is to connect with them, learn about their family, walk them through the studio experience, collect a deposit, and book their session.

You are not cold calling. You are not selling artwork. You are not closing deals over the phone.

Your job is to make someone feel genuinely excited about walking through our studio doors — and then get them on the calendar.

The clients you speak with will be moms, dads, couples, families with kids, and dog owners who responded to a campaign that resonated with them. Your job is to meet them where they are emotionally, build trust quickly, and guide them through a short, warm conversation that ends with a booked appointment.

These are qualified leads. NO COLD CALLS.

What a Typical Call Looks Like

Every call follows a guided framework. You will:

Confirm the lead and reference their application
Spend a few minutes getting to know their family — names, ages, how they met, what this moment means to them
Walk them through what to expect at the studio — the session, the viewing, the complimentary portrait
Book a specific date and time on the studio calendar
Collect a refundable holding deposit
Set expectations for what happens next

The total call runs about 8 to 15 minutes. The most important part is the conversation in the middle — the part where you're genuinely listening and making the client feel seen. Everything else flows from that.

Who You Are

You are someone who is naturally warm on the phone. People open up to you without knowing why. You can guide a conversation without it ever feeling like you're steering it. You're comfortable asking for a credit card after building rapport, because by that point it feels like a natural next step, not a hard close.

You have a voice and presence that would feel at home in a luxury setting — not pushy, not salesy, not overly bubbly. Genuine, confident, and polished.

You are also someone who can follow a structured process. We have a proven script and a specific way we want the experience to feel. We need someone who can internalize that framework and deliver it naturally — not someone who wants to wing it.

You'd be great at this if you have experience in:

High-end hospitality, concierge, or client services
Appointment setting for premium or luxury brands
Recruiting, admissions, or enrollment — any role where you guided people through a decision over the phone
Inside sales where relationship-building mattered more than volume

This is probably not the right fit if you:

Prefer to work off a cold calling script at high volume
Think of phone work as a numbers game
Are uncomfortable with silence or emotional conversations
Want a role where you set your own process from scratch

The Details

Location: Fully remote — work from anywhere in the US
Schedule: Full time, with core hours aligned to Eastern Time
Compensation: $45,000 – $65,000 annually, depending on performance
Reports to: Studio Owner / General Manager
Tools: Phone, CRM system, studio calendar (all provided or specified during onboarding)

Requirements

Reliable high-speed internet and a quiet workspace
A phone manner that sounds warm, natural, and confident — not scripted or robotic
Ability to follow a structured call framework while making it sound like a real conversation
Comfort collecting payment information over the phone
Previous experience in a phone-based client-facing role
