Job Summary:
Perform a wide variety of clerical and operational support duties to facilitate the accurate, timely, and efficient receiving of inbound product into the distribution center. This position is responsible for coordinating inbound receiving activity from driver arrival through final release, including first-pass processing, second-pass processing, driver call-in and call-out, purchase order processing, receiving documentation, system transactions, vendor compliance, and communication with internal and external business partners, and third-party labor.
The role requires extensive use of multiple warehouse and receiving computer systems throughout the shift to monitor inbound activity, process purchase orders, research and resolve discrepancies, maintain accurate receiving information, and support the overall flow of inbound operations. Associates must be able to prioritize multiple tasks in a fast-paced environment while maintaining accuracy and effective communication with drivers, unloading services, transportation, procurement, warehouse operations, and leadership.
Principle Duties and Responsibilities:
- Execute and maintain all clerical processes associated with inbound receiving operations, working independently and as part of the receiving team
- Perform first-pass receiving functions, including reviewing and processing inbound purchase orders, validating load and appointment information, and preparing required receiving paperwork and pallet labels
- Perform second-pass receiving functions to finalize inbound loads, verify receiving information, identify discrepancies, and ensure required system transactions are completed accurately
- Manage the driver call-in process, communicating with drivers and coordinating load readiness based on appointments, dock availability, unloading capacity, and operational priorities
- Manage the driver call-out/release process, ensuring receiving activity and required documentation are completed prior to releasing drivers
- Monitor inbound appointments and load activity throughout the shift, including scheduled, late, early, unappointed, and outstanding deliveries
- Partner with 3PL to coordinate inbound receiving activity and resolve issues that may impact unloading or receiving
- Maintain and process Vendor Inbound Compliance (VIC) entries and supporting documentation accurately and within established timeframes
- Utilize multiple warehouse, receiving, transportation, appointment, and communication systems throughout the shift to enter, retrieve, monitor, and research information
- Research and resolve receiving discrepancies involving purchase orders, appointments, quantities, vendors, loads, documentation, or system information and escalate issues when appropriate
- Communicate with drivers, transportation, procurement, warehouse operations, 3PL partners, vendors, and leadership to resolve issues and maintain the efficient flow of inbound product
- Coordinate with dock and yard operations regarding trailer status, door availability, load progression, driver status, and operational priorities
- Monitor inbound workload and assist with prioritizing receiving activity based on appointment schedules, product needs, available dock capacity, and business priorities
- Process and oversee backhaul trailers and associated receiving activity, ensuring required documentation and system transactions are completed
- Maintain accurate and organized receiving records and documentation to support operational, compliance, and audit requirements
- Answer and respond to inbound receiving phone calls, emails, system notifications, and requests for information in a timely and professional manner
- Identify issues that may delay receiving and take appropriate action or notify leadership to support timely resolution
- Maintain a high level of accuracy while completing multiple tasks and system transactions in a high-volume, time-sensitive environment
- Ensure compliance with company standards related to accuracy, safety, productivity, food safety, security, and receiving procedures
- Perform additional receiving, clerical, and operational support duties as assigned
- Perform inbound pallet compliance in all zones
Knowledge
- Strong working knowledge of warehouse receiving processes and procedures
- Working knowledge of warehouse management, receiving, transportation, appointment, and supporting systems
- Working knowledge of Microsoft Office programs, including Outlook, Excel, and other electronic communication tools
- Understanding of purchase orders, receiving documentation, inbound appointments, and vendor compliance processes

Education
Experience

- Familiarity/experience in a distribution environment preferred
Post Training schedule: Tuesday through Saturday, 6PM to 2:30AM
Pay: $27.50
