Job Summary

We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth communication, efficient scheduling, and effective administrative support. Your energetic approach and attention to detail will help foster a productive environment, support client interactions, and streamline daily tasks. This paid position offers an exciting opportunity to develop your office management skills while contributing to a professional and welcoming workplace.

Duties

Manage multi-line phone systems with professionalism, ensuring clear and courteous communication with clients, vendors, and team members.
Maintain and update calendars, schedule appointments, meetings, and conference calls efficiently.
Prepare, proofread, and format documents using Microsoft Office Suite including Word processing and Spreadsheets to ensure accuracy and professionalism.
Handle data entry tasks with precision using various productivity software; organize files and maintain comprehensive filing systems.
Assist with client communication by providing excellent customer service via phone, email, or in person; uphold high standards of phone etiquette.
Support office management tasks such as inventory tracking, supply ordering, and maintaining office equipment.
Perform clerical duties including photocopying, scanning, faxing documents, and managing incoming/outgoing correspondence.
Provide personal assistant support by coordinating travel arrangements or special projects as needed to enhance overall office productivity.

Experience

Proven experience as a secretary or administrative assistant in an office environment.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and familiarity with productivity software such as QuickBooks for financial tasks.
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
Demonstrated experience with data entry, filing systems, and document proofreading to ensure accuracy.
Exceptional customer service skills combined with effective phone communication and front desk experience.
Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members.
Prior experience managing calendars, scheduling appointments, and handling office management responsibilities is preferred.
