Overview
We are seeking a dynamic and friendly Front Desk Attendant to serve as the welcoming face of our organization. This vital role involves managing front desk operations with enthusiasm, ensuring smooth communication, and providing exceptional customer support. The ideal candidate will demonstrate strong organizational skills, excellent communication abilities, and a proactive attitude to create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills in a fast-paced environment. Hours will be Monday and Wednesday 3pm to 11pm. Possibly more hours if needed.

Duties

Greet visitors, clients, and staff with professionalism and warmth, creating a welcoming atmosphere
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
Maintain front desk area by organizing files, updating records, and ensuring the space is tidy and professional
Use computer skills to perform data entry, scheduling, calendar management, and document proofreading
Support office management tasks such as filing, photocopying, and managing office supplies inventory
Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and invoices when needed
Provide customer support by answering inquiries promptly and professionally across various communication channels
Coordinate appointments and manage calendars for staff or medical/dental professionals if applicable
Ensure all administrative procedures adhere to company policies while maintaining confidentiality

Qualifications

Proven experience in office management or administrative roles with clerical experience preferred
Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent organizational skills with the ability to multitask efficiently in a busy environment
Bilingual abilities are highly desirable to serve diverse client needs effectively
Experience with front desk operations in medical or dental settings is a plus but not required
Familiarity with multi-line phone systems and phone etiquette standards
Demonstrated ability to handle data entry accurately while maintaining attention to detail
Strong typing skills along with proofreading capabilities for professional correspondence
Customer service orientation with a friendly demeanor and problem-solving mindset
Knowledge of office procedures such as filing, calendar management, and basic bookkeeping (QuickBooks experience is advantageous)
Ability to manage time effectively while prioritizing tasks in a fast-paced setting
