About STAMA Integrated Health Solutions

STAMA Integrated Health Solutions is a growing behavioral health and human services organization providing community-based and residential services to individuals with intellectual/developmental disabilities and behavioral health needs.

We are seeking a highly organized, professional, and dependable Administrative & Operations Coordinator to support the day-to-day administrative and operational functions of our Raleigh office.

This position is ideal for someone who enjoys working in a fast-paced professional environment, managing multiple priorities, keeping operations organized, and serving as a dependable point of coordination for staff and leadership.

Position Summary

The Administrative & Operations Coordinator will provide high-level administrative and operational support across STAMA’s office and service operations.

The successful candidate will help coordinate office activities, maintain organizational records, support employee onboarding and scheduling, track documentation requirements, communicate with staff and external partners, and assist leadership with general administrative and operational priorities.

Key Responsibilities

· Coordinate day-to-day administrative activities within the STAMA office.

· Provide administrative and operational support to leadership.

· Serve as a professional point of contact for staff, families, providers, vendors, and external partners.

· Manage incoming telephone calls, emails, correspondence, and general inquiries.

· Maintain organized electronic and physical records.

· Assist with employee onboarding documentation and personnel records.

· Track staff credentials, training requirements, background checks, and other required documentation.

· Assist with employee scheduling and communicate operational changes as needed.

· Prepare professional letters, reports, spreadsheets, forms, and other business documents.

· Support maintenance of client and service-related administrative documentation.

· Assist with compiling documentation requested by managed care organizations, regulatory agencies, auditors, and accrediting organizations.

· Coordinate calendars, meetings, appointments, and administrative deadlines.

· Follow up with employees regarding outstanding documentation and administrative requirements.

· Coordinate office supplies, vendors, mail, and general office needs.

· Perform data entry and maintain accurate information within organizational systems.

· Support implementation and improvement of office procedures and administrative workflows.

· Maintain strict confidentiality of employee and client information in accordance with HIPAA and organizational policies.

· Identify outstanding administrative or operational matters and follow through until resolution.

· Assist with special projects and additional operational needs as STAMA continues to grow.

Preferred Qualifications

· Associate’s or bachelor’s degree in Business Administration, Healthcare Administration, Human Services, Management, or a related field preferred.

· 3+ years of experience in administrative coordination, healthcare administration, business operations, behavioral health, human services, or a comparable professional environment preferred.

· Strong organizational and time-management skills.

· Excellent written and verbal communication skills.

· Strong attention to detail and follow-through.

· Ability to manage multiple priorities and deadlines independently.

· Ability to exercise sound judgment and take initiative.

· Proficiency with Microsoft Outlook, Word, Excel, and general office technology.

· Experience with electronic health records, scheduling platforms, healthcare administrative systems, or similar software is desirable.

· Familiarity with HIPAA, employee onboarding, credentialing, compliance documentation, or personnel records is a plus.

Equivalent combinations of education and relevant professional experience will be considered.

Compensation

$60,000 annually

Work Environment

This is primarily an on-site position in Raleigh, North Carolina.
