We are seeking to hire a full time Administrative Assistant. The scheduled full time hours are Monday through Friday, 8:00 am to 4:30 pm.

Job Summary

The Administrative Assistant will be responsible for providing administrative support to management in the areas of purchasing, sales, and marketing. This position reports directly to the Chief Operating Officer (COO).

Responsibilities and Duties:

Purchasing

Responsible for the placement of orders with multiple vendors by preparing purchase orders for land, sea, and air freight. The duties involve purchasing to ensure the timely delivery of products, which include ensuring accuracy in pricing, quantity, freight, and record keeping.
Responsible for inventory and supply replenishment by reviewing levels and demand and determining the quantities to purchase
Enter and email purchase orders to domestic and international suppliers
Review confirmations from suppliers, adjust ship dates, check for incorrect items and prices, and respond accordingly
Processing and approving supplier invoices
Responsible for the replenishment of inventory and reduce out of stocks
Advise company of items discontinued by suppliers
Entering in-transit data
Review backorder list, expedited shipments, get new ship dates from suppliers
Maintain filing
Adjust safety stock in computer
Track freight costs for inbound overseas shipments and maintain routing guides
Communicate with suppliers and internal departments
Run MRP’s and initiate PO’s
Confirm delivery dates with departments
Communicate delays or other challenges

Sales & Marketing

Responsibilities include account management and servicing, customer correspondence, quotes, and order entry
Provide administrative support and service to eCommerce marketplaces and platforms, key accounts, and the sales team
Create and submit new product listings on Amazon and integrate product data into Morex’s inventory system
Maintain and update part number entry, bill of material entry, forecasts, and submission of photos, descriptions, and categories according to specifications, not limited to eCommerce
Responsible for completing quotes with ASIN codes for new items, updating Morex Order’s planner field, and sending spreadsheets to Commerce Canal
Responsible for new part number entry and bill of material entry
Provide administrative backup for developing special programs such as Christmas and spring orders for key accounts

Other Duties

Perform other duties as required or assigned including correspondence, filing, and organization, which include maintaining a logical order for all documents, files, and folders (both paper and electronic)
Support a proactive safety environment, with emphasis on good housekeeping techniques

Qualifications and Skills:

Computer skills – proficient in Microsoft Office applications including Excel and Outlook
Effective communication/comprehension skills - verbal and written
Math skills - knowledge of arithmetic, including computations of mark-up and margins
Basic typing and number pad data entry skills
Ability to function independently and multi-task
Strong organizational, time management, and multi-tasking skills, with attention to detail

Related Associate’s Degree or equivalent work experience

Minimum of 2 years office administration experience with purchasing duties

Minimum of 2 years experience at a sales driven customer service organization, preferably in a manufacturing/distribution environment
