POSITION: Certified Medical Assistant (CMA) Supervisor/Front Desk Supervisor
POSITION SUMMARY: The Certified Medical Assistant Supervisor delivers patient care under the control of the provider they work under and is under the direction of that provider for delivery of care and is under the direct supervision of the Medical Director.
POSITION OUTLINE:

General Duties and Responsibilities:
- Reports to his/her assigned medical provider and to the Medical Director.
- Maintain a positive, pro-active, and professional demeanor with fellow employees.
- The functions of this job will be performed in a rural: clinical environment.
- Assist and interact with the public in a professional manner.
- Display a high level of attention in detail.
- Must exercise good judgment in analyzing and solving problems.

- Prepares room for minor surgical procedures, sets up equipment as requested by provider. In conjunction with the provider, makes certain consents for procedure has been correctly completed and signed before procedure begins.
- Assist with special tests and procedures, prepares patient and provides emotional support.
- Administers intramuscular, subcutaneous and intradermal injections in safe and therapeutic manner by physician's order. Follows all protocols for medical administration accurately, precisely and follows the 6 rights of administration of injections: Right patient Right medication Right dose Right route of administration Right time and frequency of administration Right documentation
- Performs 12 lead EKG's, audiometric screening and laboratory procedures in compliance with all standards and regulations following the clinical lab improvement amendments (CLIA1 for accuracy, reliability and timeliness of patient test results.
- Demonstrates a thorough knowledge of safety policies and procedures including universal precautions, infection control and utilizes proper body mechanics.
- After each visit sets up the patients next appointment in the NextGen EPM and gives them and appointment card with the date and time.
- Be organized in all work activities, while meeting deadlines, multi-task and be able to cover sub-specialty providers.
- Read, interpret, and adhere to personnel policy and procedures.
- Familiarization with computer system, i.e. spreadsheet, internet, and word-processing applications.
- Must be able to use office equipment, including fax, multi-line telephone, and copy machine.
- Agree to not disclose any trade secrets, directly or indirectly, or use them in any way, either during the term of employment or at any time thereafter, except as required in the course of my employment with the company. Maintain a high level of patient confidentiality at all times.
General qualifications: An eligible candidate must possess and/or maintain) the following:
- Certification of completion of a Certified Medical Assistant (CMA) Training program and is a Certified Medical Assistant (CMA).
- One-year experience in a medical clinical setting.
- At a minimum, one-year supervisory experience.
- Be eighteen (18) years of age or older.
- Ability to read, analyzes, and interpret general business periodicals, professional journals, technical procedure, IHS or governmental regulations.
- Reliable employment history.
- If required to drive a Greenville Rancheria vehicle, Must be over the age of 21 and possess a valid California driver's license and a DMV print out verifying a good driving record. Refer to the Transportation/Vehicle policy and procedure manual authorization of personnel.
- Ability to pass a Pre-Employment drug, alcohol screen and criminal background check/fingerprinting in accordance with all applicable laws regarding the nature of the employment.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.
- Ability to effectively communicate English, both written and verbal.
- Maintain a "Professional Image" in one's appearance and hygiene.
- Current certification, or ability to obtain certification in CPR and First Aid in a time frame that is agreed upon at the time of hire.
- Must be efficient, flexible, professional, team player, well organized.
DIRECT RESPONSIBILITIES: The following position responsibilities are rated as part of the employee’s competency-based performance appraisal. Within the parameters established by the Tribal Council, approved Greenville Rancheria Personnel Policies and Procedures.
- The CMA Supervisor is assigned the following responsibilities in addition to his/her CMA duties under a provider. RN's cannot supervise CMA's and is under the direct supervision of the Medical Director.
Clinical duties:
- Assists and directs all Red Bluff and Greenville CMA's in maintaining a safe and clean environment by keeping exam room in order, cleaning equipment, reporting equipment that is out of order and maintaining supplies.
- Makes sure there is adequate CMA coverage for the providers; for sick calls, vacation, etc.
- Collaborates daily with the Front Office Supervisor to assist in front office coverage.
- Assists in maintaining inventory levels for solutions, supplies and equipment and coordinates with the ordering CMA.
- Reviews CMA timesheets, signs and submits.
- Writes 90 day and annual evaluations on the float CMA's and co-writes with the CMA's providers.
- Monitors other CMAs to make sure that equipment and refrigerator temperatures are in compliance with Greenville Rancheria policy and VFC. Reports if any problems with refrigerator or IZ's.
- Assist's other CMA's in triaging acute patients and walk-ins.
- Assist's other CMA's in maintaining patient flow for providers.
- Insures that other CMA's are following protocols outlined in the medical manual policy and procedures on recording and documentation in NextGen EHR.
- Makes sure that all CMA's are following the autoclave desktop procedure, spore testing and spore sterilization technique is .followed and recorded.
- Is the direct contact to answer CMA's, front office and billing questions and guidance daily and reports to the Medical Director.
- Demonstrates a high level of mental and physical tolerance when dealing with ill patients; uses tact, sensitivity, sound judgment and a professional attitude when relating to patients, families and coworkers.
- Oversees the CMA's for i2i tracks, NextGen and in-house referrals.
- Answer requests for medical records following all applicable regulations, restrictions, and guidelines and HIPAA.
- Phone calls as needed for providers, including but not limited to pharmacy, correspondence, patient correspondence, and general information.
- Maintains autoclave binder and insures that other CMA's are following medical manual policy and procedures and environmental cultures are done per policy.
- CAIR inventory and immunizations.
- Other duties as assigned.
Customer service:
- Professionally and in a customer-focused manner, disseminate program information as appropriate when assisting front office staff.
- Provide input, initiate, and embrace changes that will continually improve the operation of the Greenville Rancheria and assist the Tribal Council and Tribal Membership in growth, efficiency, and prosperity.
- Treat all patients with respect and courtesy.
- Maintain a high level of patient confidentiality.
- Other duties as assigned.
