Full Job Description

Every day at Buzztag, dozens of branded merchandise projects move from idea to delivery - company stores, employee gifts, trade show kits, and custom merchandise programs.

Our Production & Operations Coordinator is the person who keeps everything running smoothly behind the scenes.

You’ll help ensure vendor orders are accurate, timelines are met, inventory is organized, and our clients receive the kind of experience that makes them want to work with Buzztag again and again.

This position is based in our Bend, Oregon, office and combines project coordination, vendor management, and light warehouse support.

Rather than simply slapping a logo on random products and hoping they don’t end up in a junk drawer, we curate and create merchandise people actually want to keep.

What You’ll Do

This role requires strong attention to detail, organization, and the ability to manage multiple projects at once.

You will:

Greet customers and help them with their needs
Manage and track vendor orders to ensure accurate and on-time delivery
Communicate with clients about the status of their orders
Work closely with vendors and maintain strong relationships
Troubleshoot issues and help resolve supply chain disruptions
Follow up with vendors to obtain invoices and reconcile pricing with purchase orders
Finalize sales orders and prepare documentation for accounting
Help manage orders for client company stores and merchandise programs
Maintain organization and accuracy within our warehouse and inventory
Collaborate with teammates on process improvements and operational efficiency
Support other team members when needed - we’re small, but we are mighty

What Success Looks Like in This Role

Within your first 6–12 months, you will:

Confidently manage vendor orders from purchase order to delivery
Understand production timelines and supplier capabilities
Help ensure orders move smoothly from concept to shipment
Keep our warehouses and office organized and inventory accurate
Collaborate with teammates to improve workflows and processes help create an exceptional experience for our clients

About You

Work well independently and take ownership of your responsibilities

Are a strong multitasker and problem solver

If you do make a mistake you quickly own it and work with us to not repeat it
Communicate clearly and professionally with clients and teammates
Are adaptable and willing to help wherever needed
Are comfortable lifting boxes up to 40 pounds

Technology & Tools

We operate heavily in cloud-based systems. You should be comfortable using digital tools and learning new software.

Experience with tools like the following is helpful:

Google Drive / Gmail
Slack
Trello or project management tools
Dropbox or similar file systems
Apple computers and operating systems

Industry Experience (A Big Plus)

While not required, candidates with experience in the following areas often thrive in this role:

Branded Merchandise industry
Apparel decoration (screen printing / embroidery)
Print or sign shops
Vendor purchasing or order management
Fulfillment or warehouse operations
Merchandise or company store programs
