Part-Time Real Estate Operations Coordinator
Location: Seattle / Bellevue area — primarily in person
Hours: Approximately 8–12 hours per week
Compensation: $1,500 per month
Schedule: Flexible, ideally 2–3 in-person work blocks per week
We are a growing real estate acquisition business focused on sourcing off-market land and development opportunities for builders and developers.
I am looking for a highly organized, resourceful Operations Coordinator who can take ownership of the administrative, data, and operational side of the business so I can stay focused on sales, dealmaking, team leadership, and expansion.
This is a hands-on role for someone who enjoys taking scattered information, organizing it, creating systems, and making sure projects actually get completed.
What You’ll Help WithData & CRM
- Upload and organize prospect/property lists
- Work with Excel, Google Sheets, Smartsheet, and similar tools
- Import/export property data from platforms such as PropStream
- Clean, format, and organize large data sets
- Maintain lead databases and sales lists
- Create new sheets, trackers, and simple workflows
- Make sure data is accurate and usable by the sales team
Sales Operations
- Help organize incoming leads and prevent opportunities from falling through the cracks
- Track follow-ups, offers, active deals, and next steps
- Prepare lists for callers and salespeople
- Maintain sales dashboards and activity trackers
- Help make sure the team has the information it needs to operate effectively
Business Administration
- Assist with payroll setup and ongoing administration
- Help organize LLC and company documents
- Coordinate with bookkeepers, accountants, payroll providers, vendors, and other service providers
- Organize contracts, company records, and digital files
- Track recurring administrative tasks and deadlines
Website & Project Support
- Coordinate data and information requested by our website and marketing vendors
- Organize files and materials needed for ongoing projects
- Follow up with vendors and make sure projects continue moving forward
- Research solutions when an operational issue comes up rather than waiting for step-by-step instructions
Executive Support
- Help organize meetings, schedules, tasks, and follow-ups
- Keep track of outstanding projects and responsibilities
- Identify items that are falling behind and bring them forward
- Help turn broad goals into clear next steps

- Comfortable communicating with vendors and business partners
- Able to take ownership of a project from beginning to completion
- Someone who genuinely enjoys systems, organization, and operations
Real estate experience is helpful but not required.
Experience in any of the following would be especially valuable:
- Real estate administration
- Transaction coordination
- Executive assistance

- Office administration
- Sales operations
What Success Looks Like
I want someone who can take an instruction such as:
“We have a list of several thousand property owners that needs to be cleaned, matched with contact information, uploaded into our CRM, and prepared for the sales team.”
…and independently figure out how to move that project forward.
Or:
“We need payroll set up.”
…and research the process, contact the appropriate provider, organize the required documents, identify what needs my signature or approval, and help get it completed.
The goal is not simply to complete assigned tasks. The goal is to take ownership of operational projects and make things easier, more organized, and more efficient.
Growth Opportunity
This position will begin part-time, but the company is actively growing and expanding into additional markets.
For the right person, there is meaningful potential for the role to grow in hours, responsibility, compensation, and eventually into a larger operations-management position.
