Full Job Description

Scion Staffing has been engaged to conduct a search for an experienced Director of Administration for a nonprofit foundation affiliated with the entertainment industry in Los Angeles, CA. This is a full-time, direct-hire opportunity working 100% onsite, Monday through Friday, 9:00 AM–5:00 PM, with some off-site meetings and events. Parking is provided.

This is a unique opportunity for an experienced nonprofit professional to serve as the operational hub of a mission-driven foundation, overseeing administration, financial compliance, grants, board support, payroll, and day-to-day office operations.

POSITION OVERVIEW

The Director of Administration will play a central role in ensuring the Foundation's administrative, financial, and operational functions run smoothly. Reporting to the President and Board, this individual will work independently across a broad range of responsibilities, including nonprofit financial administration, grant management, payroll and benefits, board coordination, vendor management, and member communications.

The ideal candidate is a highly organized and discreet nonprofit professional who enjoys wearing multiple hats within a small organization. This position requires strong financial acumen and an understanding of nonprofit compliance, along with the ability to interact professionally with board members, grantees, vendors, accountants, and other external partners.

RESPONSIBILITIES

Oversee day-to-day office administration and serve as a central point of coordination for Foundation operations.
Manage the grant administration process, including grantee communications, documentation, tracking, and reporting.
Coordinate Form 990 preparation and work closely with external accountants and other professional partners to maintain nonprofit financial compliance.
Administer and coordinate payroll and employee benefits processes.
Maintain accurate financial records and support accounting activities using QuickBooks or similar accounting software.
Provide administrative and operational support to the President and Board of Directors.
Coordinate board meetings, prepare materials, maintain records, and assist with board reporting and follow-up.
Support communications and engagement for the Foundation's approximately 64 members.
Coordinate Foundation meetings, events, and off-site activities as needed.
Manage vendor relationships, contracts, invoices, and other operational matters.
Maintain organized, confidential Foundation records and documentation.
Support financial reporting, budgeting, compliance, and other accounting-related activities.
Assist with nonprofit governance and legal/compliance matters as appropriate.
Build and maintain strong relationships with grantee organizations, board members, vendors, accountants, and community partners.
Identify opportunities to improve administrative processes and overall operational efficiency.

QUALIFICATIONS

5+ years of nonprofit administration, office management, foundation operations, or related experience required.
Bachelor's degree required; MBA preferred.
Strong understanding of nonprofit operations and financial compliance.
Experience coordinating Form 990 preparation, payroll, and financial reporting/compliance.
Demonstrated experience with grant administration and board support.
Fundraising and/or development experience strongly preferred.
Knowledge of investments or investment-related administration is highly desirable.
Previous legal and/or accounting experience is strongly preferred.
Experience with QuickBooks or similar accounting software.
Experience with payroll platforms such as Gusto, ADP, or similar systems.
Proficiency with Microsoft Office/Microsoft 365.
Experience with nonprofit grant administration systems preferred.
Ability to handle sensitive and confidential information with professionalism and discretion.
Strong written and verbal communication skills.
Highly organized, detail-oriented, collaborative, and comfortable working independently.
High level of integrity and a genuine passion for nonprofit and mission-driven work.
Ability to work 100% onsite in Los Angeles and attend occasional off-site meetings and events.

COMPENSATION & BENEFITS

This direct-hire opportunity offers a salary of approximately $120,000–$150,000, commensurate with experience. The Foundation provides a laptop and complimentary onsite parking.
