About Psychable
Psychable is a wellness and transformation platform dedicated to plant medicine, psychedelic-assisted healing, and conscious lifestyle change. We sit at the intersection of clinical rigor and sacred tradition, connecting individuals with vetted practitioners, integration support, and education that honors the lineage of these medicines. Our founder is both the CEO and a practitioner, which means Psychable is not just a marketplace—it is a mission-driven ecosystem led by someone who walks the path alongside the clients we serve.
We are a small, resourceful, high-trust team building something that matters and that truly makes a difference. This role is for someone who wants to be close to the vision and help translate it into reality, day by day. You help build the tracker, connect systems, write job recs, make sure projects move, and ensure the right things are happening with the right people at the right time.
The Role
This is the founder’s operational right hand. A co-pilot seat. We are looking for hard-core doers and people that lean forward and value speed, quality, clear and frequent communication. You are not managing from above. You are in the weeds, moving fast, clearing paths, and holding the operational pulse of the company so the founder can stay in her zone of genius and focus on the vision.
This is not an EA role. This is a strategic operator role with real ownership and the trust that comes with it.
What You’ll Do
B2B Partnership Pipeline & Revenue Generation: Own the end-to-end B2B clinic partnership pipeline. This is the Company’s highest-priority revenue channel and the primary focus of this role. You will build and maintain a target list of prospective clinic partners, own all outreach and follow-up, nurture leads through the pipeline, coordinate founder involvement for closing conversations, and drive the partnership from initial contact through signed agreement. You are expected to do what it takes to help the Company realize revenue from clinic partnerships—this includes leveraging AI and automations to research, prospecting, outreach messaging, CRM pipeline management, and creative problem-solving to remove any barriers between a qualified lead and a signed partnership. This is not a support function. This is an ownership function with direct accountability for pipeline activity and progression.
P&L Ownership: Own and monitor the Company's profit and loss. Track revenue, expenses, and margins on a weekly basis. Flag variances, identify areas of overspend, and make recommendations on resource allocation. You are expected to understand the financial health of the business at all times and to make operationally sound decisions that protect and grow the bottom line. This includes subscription audits, contractor cost management, and ensuring that every dollar spent is generating a return.
Operations: Own to-dos, internal milestone tracking, and meeting cadences. Keep the weekly rhythm tight and the quarterly vision on track. Anticipate roadblocks across engineering, product, and customer—and clear them.
Strategy-to-Execution Bridge: Take high-level strategy and break it into actionable workstreams. Draft briefs, hiring specs, memos, research docs, and partnership materials in collaboration with the founder.
Team & Contractor Coordination: Interface with the internal team (Growth & Marketing Manager, GHL specialist, EA, developers) and external contractors, advisors, and partners to keep momentum high and communication clear.
Project Management: Anticipate roadblocks across operations, tech, marketing, and partnerships. Clear them before they become bottlenecks. Own follow-through on key initiatives from kickoff to close.
Systems & Process Design: Build and refine the operational infrastructure: SOPs, workflows, internal documentation, and automation logic (GHL, Notion, Calendly, etc.).
Financial & Compliance Awareness: Support light financial tracking, subscription audits, vendor management, and compliance awareness (TCPA/10DLC for marketing, HIPAA-adjacent considerations for client-facing work).
Unboxable Work: Run down the important tasks that don’t fit neatly into any category. Research partnership structures, review legal docs, investigate vendor options, prep for investor conversations, coordinate travel logistics. If it matters and it’s on the founder’s plate, it becomes yours.
You Might Be a Fit If…
- You’ve worked inside founder-led startups and understand how to build systems out of creative chaos without killing the energy that drives them.
- You have an analytical mind but live in the world of execution. You don’t just identify the problem. You roll up your sleeves, fix it, and move on.
- You are unbothered by blurred lines between personal and business workflows. In a founder-led company, the two are intertwined, and you’re comfortable operating in that reality.
- You are proactive, discreet, and deeply trustworthy. You don’t need your name in lights to feel valuable. You know that the best Chief of Staff work is often invisible.
- You can write clearly, think laterally, and communicate with warmth and directness.
- You don’t like to waste time and look for the more efficient and cost-effective path to accomplish the work.
- You are genuinely interested in wellness, plant medicine, psychedelics, or consciousness. You don’t need to be an expert, but alignment with Psychable’s mission matters.
- You bring calm energy to high-stakes moments. You are a stabilizer, not an escalator.
- You are comfortable operating as an AI-first professional. You use AI tools daily as core workflow infrastructure—not as a novelty—and you actively look for opportunities to automate, build AI agents, and solve problems with AI before defaulting to manual processes.
Skills & Tools
- Notion, Google Workspace, Slack, Calendly, GHL (GoHighLevel) or similar CRM/automation platforms
- Comfort with AI tools (ChatGPT, Claude, Claude Code, etc.) as daily workflow accelerators
- Light project management tooling
- Strategic thinking paired with a tactical, get-it-done mindset
- Familiarity with GTM strategy, hiring, and early-stage operations
- Bonus: experience in wellness, marketplace, healthtech, psychedelics, or mission-driven brands
AI-First Operating Standard
Psychable is an AI-first company. Every person on the team is expected to use Claude and AI tools daily as part of their workflow—for problem-solving, drafting, research, analysis, decision support, and execution. If there is a manual process that can be automated, we automate it. If there is a question that AI can help answer faster, we go there first. Consultant is expected to actively build AI agents into operations, from client-facing tools to internal workflow automation, and to evaluate every system with the lens of: can AI do this, assist with this, or make this faster? This mindset is embedded in everything we do—not bolted on after the fact.
