Full Job Description

Job Overview
We are seeking a motivated and detail-oriented Entry Level Accounts Payable Assistant to join our dynamic finance team. This role offers an exciting opportunity for individuals eager to develop their accounting skills and gain hands-on experience in a professional environment. As an integral part of our finance operations, you will support the processing of vendor invoices, ensure accurate data entry, and assist with various accounting functions. This position is ideal for someone passionate about financial concepts, eager to learn accounting software, and committed to maintaining high standards of accuracy and compliance.

Duties

Process and verify vendor invoices, ensuring proper coding and approval in accordance with company policies
Enter data accurately into accounting software such as QuickBooks, Sage, or Workday
Assist with account reconciliations and journal entries to support general ledger accuracy
Support accounts payable functions by preparing payments and managing invoice records
Maintain organized records of transactions, invoices, and payment documentation
Assist with month-end closing activities and financial reporting tasks
Review vendor invoices for sales and use tax compliance and 1099 reporting.
Facilitate vendor onboarding (obtaining tax and banking forms).
Assist with vendor conflict resolution.
Maintain/coordinate A/P invoice tracking, vendor files, and accounts payable records.
Assist with monthly reconciliations.

Education and Skills:

A minimum of one to two years of prior professional work experience in a similar role or related field.
Experience with a computerized accounting system is a must.
Knowledge of Microsoft Word, Excel and Access is required.
Excellent telephone and interpersonal communication skills with strong customer service and team orientation.
Must be self-directed with excellent time and project management skills and an ability to organize, prioritize, and accomplish multiple tasks with strict attention to detail and with minimal supervision.
Basic understanding of accounting principles, including debits & credits, double entry bookkeeping, and general ledger accounting
Experience or familiarity with accounting software such as Paychex, ADP, Kronos, UltiPro, PeopleSoft, Ceridian, or similar platforms
Strong data entry skills with high accuracy and attention to detail (10 key typing proficiency preferred)
Knowledge of payroll management systems and benefits administration processes
Ability to analyze financial data and perform account reconciliation tasks effectively
Excellent organizational skills with the ability to prioritize multiple tasks in a fast-paced environment
Effective communication skills for collaborating across departments including human resources and finance teams
