Job Summary:

The Production Specialist will provide support with supplier management and help ensure orders are fulfilled accurately and on time. The individual will be responsible for managing orders through delivery. The primary function is to ensure the business is running smoothly behind the scenes and that all orders in production with our supplier partners are being fulfilled and produced in accordance with purchase orders and client requests. They will also be responsible for helping communicate with customers by providing production proofs, order updates, tracking numbers, and guidance through potential setbacks that occur after orders enter production.

Our Production team is highly collaborative, working in what we call Prod Squads. This team-based approach allows the Production team to support each other through out-of-offices, complex orders, and unexpected delays. The ideal Production Specialist is a strong individual contributor who is eager to step in when the team needs support and communicate clearly when support is needed.

Core Competencies:

Supplier & Vendor Management – Managing and maintaining healthy relationships with external suppliers and decorators to ensure competitive pricing, adherence to production schedules, and consistent quality of branded goods.
Order Fulfillment & Logistics – Ensuring every client order moves seamlessly through production, decoration, and shipping with maximum accuracy, minimizing errors, and optimizing delivery timelines and costs across multiple fulfillment streams
Quality Control & Compliance – Ensuring that every piece of branded merchandise meets both Whitestone's internal quality benchmarks and the client's specifications, protecting the brand's reputation for quality.
Error Management & Critical Thinking – Understanding departmental capabilities, identifying root causes, applying effective solutions, preventing repeat errors, and using sound judgment to determine when escalation is necessary.

Essential Responsibilities:

Oversee the full custom product lifecycle, including specifications, sampling, production requirements, testing, approvals, and timelines.
Translate client feedback into clear, actionable production updates for domestic and overseas manufacturing partners.
Ensure product specifications, branding requirements, and quality expectations are accurately communicated and executed throughout production.
Track and manage purchase orders, confirming quantities, shipping details, and production requirements to ensure order accuracy and alignment across stakeholders.
Coordinate with logistics to process international shipping, including documentation, timelines, delivery requirements, and DDP shipments where applicable.
Resolve production, quality, and supply chain issues, including missing units, incorrect imprints, and other manufacturing discrepancies.
Identify production and logistics risks proactively and communicate potential impacts and solutions to internal and external stakeholders.
Maintain accurate documentation across purchase orders, production updates, and shipment records.
Build strong cross-functional and vendor relationships to support seamless order fulfillment, production reliability, and continuous improvement.

Minimum Qualifications:

3+ years of professional work experience required
1+ year of promotional item procurement or logistics experience required
Ability to work in a remote environment with strong, reliable internet access
Strong analytical and organizational skills.
Experience with CRMs like CommonSku and Project management tools like Asana are a plus
