Full Job Description

Position Summary

Dominus Commercial is seeking a highly organized, resourceful, and service-minded Executive & Operations Assistant to provide direct administrative support to our executive team while also helping coordinate the day-to-day operational needs of our office.

This is a highly visible position at the center of our organization. You’ll help keep two busy executives organized, prepared, and on track while also serving as an important connection point between the executive office and teams across Dominus.

We’re looking for someone early in their career who has strong business aptitude, exceptional organization and follow-through, excellent Microsoft Office skills, professional judgment, and the ability to manage multiple priorities at once.

Core Responsibilities

Provide daily administrative and executive support to the executive team, including calendar coordination, scheduling, meeting logistics, reminders, deadlines, travel, and expense reports.
Help keep executive team prepared, informed, organized, and on time while tracking important follow-up items and commitments.
Serve as a central point of coordination for requests and information requiring attention from the executive team.
Coordinate business travel, conferences, meetings, reservations, itineraries, and related logistics.
Assist with executive communications by drafting, proofreading, formatting, preparing, and distributing approved correspondence as directed.
Attend select meetings when requested to capture notes, decisions, action items, responsibilities, and deadlines.
Maintain executive action-item and follow-up lists so important commitments don't fall through the cracks.
Manage and maintain the executive team’s CRM/contact database, including an initial cleanup and organization of existing contacts and ongoing updates and synchronization with Outlook contacts.
Help maintain executive relationship follow-ups, contact information, reminders, meeting information, and related business-development administration.
Maintain general awareness of relevant activity across Brokerage, Marketing, Property Management, Finance, and Operations and help identify and organize items requiring executive review, approval, signature, decision, or follow-up.
Work with Brokerage Assistance and the Chief of Staff to maintain current high-level listing and brokerage information for executive reference.
Prepare, format, proofread, print, assemble, and bind presentations, reports, spreadsheets, correspondence, and other business materials.
Coordinate documents for electronic signature and assist with organization and follow-up of completed documentation.
Provide administrative support for company records, vendor information, subscriptions, insurance renewals, corporate filings, and recurring deadlines.
Assist with basic HR administration, including scheduling, gathering documents, facilitating forms, onboarding materials, and coordinating employee review documentation.
Help ensure the office is organized, professional, functional, and ready for business each day, including conference rooms, common areas, office supplies, printers, and shared resources.
Assist with company birthdays, employee activities, major company events, meetings, incentive events, and occasional client or industry events.
Provide basic assistance with Mac/Apple products, printers, conference room/AV equipment, Adobe/Adobe Sign, cloud-based file platforms, and other common office technology.
Assist with organizing and transitioning company files and information from legacy systems to cloud-based platforms.
Provide flexible administrative and logistical support to the Executive Team for both business and occasional personal matters as needed.
Assist with other executive and operational priorities as company needs evolve.

Qualifications

1–3 years of administrative, executive support, office coordination, or other relevant professional business experience preferred.
Bachelor’s degree preferred but not required; relevant professional experience and demonstrated business aptitude will be considered.
Strong proficiency with Microsoft 365, particularly Outlook, Word, Excel, PowerPoint, and Teams.
Strong PowerPoint/presentation and Excel skills with the ability to produce polished, accurate, professional business materials.
Excellent organizational, prioritization, and multitasking skills.
Ability to manage multiple requests and deadlines while recognizing what is urgent, what can wait, and when executive direction is needed.
Exceptional attention to detail and commitment to reviewing your own work for accuracy and completeness.
Strong written and verbal communication, grammar, proofreading, and editing skills.
High level of professionalism, discretion, confidentiality, and sound judgment.
Strong business aptitude and an interest in understanding how different areas of a company work together.
Resourceful and solutions-oriented with a willingness to learn new systems and figure things out.
Approachable and service-minded with the ability to interact professionally with executives, employees, clients, vendors, and business partners.
Comfortable using AI and other company-approved technology as part of an administrative workflow.
Prior commercial real estate or professional-services experience is a plus, but not required.
CRM experience is a plus; willingness and ability to learn is more important.
Basic financial/business aptitude for working with invoices, expenses, vendor charges, and budgets.
Willingness to obtain a Texas Notary Public commission if requested.
Bilingual skills, particularly Spanish, are a plus but not required.
Ability to occasionally assist with company events, meetings, travel coordination, or other business needs outside normal business hours when necessary.

Pay: $50,000.00 - $57,000.00 per year
