Full Job Description

Position Summary

Department: Strategic & Equity Initiatives

Reports To: Director, Children and Youth Behavioral Health Initiative (CYBHI)

Status: Exempt/Full-Time

Location: Remote, California-based

CIBHS is seeking a highly organized, collaborative, and self-directed Senior Associate, Grants Management to support the administration and implementation of complex grant-funded behavioral health initiatives that serve communities across California.

This position plays a key role in managing core grant administration and project coordination activities across the lifecycle of funded initiatives, including planning and implementation support, solicitation and contracting coordination, implementation tracking, reporting, compliance-related activities, and cross-functional project management.

This role is ideal for someone with strong grants management experience, sound judgment, and a practical, systems-oriented approach to work. The Senior Associate will work closely with program, finance, operations, and leadership staff to coordinate complex processes, strengthen internal workflows, solve operational challenges, and help ensure grant-funded projects move forward in alignment with timelines, requirements, and organizational priorities.

Key Responsibilities

Support grant administration and implementation for assigned projects by providing leadership and subject matter expertise in designated areas of responsibility.
Develop and manage workflows, templates, trackers, and documentation systems that support effective grant operations.
Coordinate solicitation, application review, award, contracting, and implementation processes.
Coordinate grant reporting, documentation, and compliance-related tracking
Partner with program, finance, and leadership staff to keep deliverables, timelines, and grant requirements aligned.
Identify risks, solve operational problems, and strengthen grants management processes over time.
Support development of proposals, scopes of work, budgets, and other pre-award materials, as needed.
Serve as a key internal partner in maintaining organized, accurate, and responsive grant administration systems.

Qualifications

Master’s degree or above in a behavioral health-related field, such as education, psychology, social work, public health; or six to ten (6-10) years of equivalent experience, education, and/or training in behavioral health system management, operations, consulting, or grant administration with demonstrated progression in responsibilities is required.
At least four (4) years of project management and/or grants management experience, including experience managing timelines, deliverables, budgets, reporting requirements, and cross‑functional stakeholders.
Experience working on government-funded, nonprofit, or other highly structured programs and initiatives.
Strong project management and cross-functional coordination skills.
Excellent written communication and documentation skills.
Ability to manage multiple priorities and deadlines with organization and follow-through.
Attention to detail and strong problem-solving skills.
Familiarity with behavioral health, public-sector systems, or community-based funding environments preferred.

Compensation and Benefits

$100,000 - $115,000 per year

Work Location and Schedule

This is a full-time remote position. The selected candidate must reside in California and be available for occasional travel within California and occasional nationwide travel for meetings, trainings, conferences, or project-related activities. Travel may include air travel and overnight stays.
