Overview

We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our hotel. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure a smooth and efficient workplace environment. Your positive attitude, organizational skills, and technical proficiency will help create a professional and friendly atmosphere for guests, visitors, and team members alike. This paid position offers an exciting opportunity to develop your administrative skills in a dynamic setting.

Responsibilities

Greet visitors, guests, and staff with professionalism and courtesy, ensuring a positive first impression.
Manage multi-line phone systems to handle inquiries efficiently, directing calls to appropriate personnel.
Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and Google Workspace.
Schedule appointments, manage calendars, and coordinate meetings to optimize office productivity.
Handle incoming and outgoing correspondence, including emails and mail distribution, with attention to detail and proofreading.
Support office management tasks such as inventory tracking and supply ordering.
Provide customer support by addressing questions promptly and assisting with client communication via phone or email.

Requirements

Proven clerical experience or office management background with strong organizational skills.
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry.
Strong communication skills including phone etiquette and customer service experience.
Ability to operate multi-line phone systems efficiently while maintaining professionalism.
Bilingual abilities are a plus to assist diverse client needs effectively.
Technical proficiency with office equipment such as printers, scanners, and basic troubleshooting skills.
Prior experience in front desk roles within medical or dental offices is advantageous but not mandatory.
Exceptional time management skills with the ability to prioritize tasks in a fast-paced environment.
