Job Summary

We are seeking a dynamic and organized Office Assistant to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, enhance communication, and contribute to a positive work environment. This paid position offers an exciting opportunity to develop your office management skills while supporting a collaborative team dedicated to excellence.

Responsibilities

Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
Handle data entry tasks with accuracy using productivity software such as Microsoft Office and spreadsheets.
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents.
Assist with calendar management and scheduling appointments for team members or clients.
Support office management activities by coordinating supplies, equipment maintenance, and general administrative tasks.
Communicate effectively with clients and team members via phone, email, or in person, demonstrating professional phone etiquette.
Perform clerical duties such as proofreading documents, preparing word processing files, and managing correspondence.

Requirements

Proven office experience with strong computer literacy and technical proficiency in productivity software like Microsoft Office and QuickBooks.
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
Strong communication skills in both English and bilingual capabilities are highly desirable.
Experience with multi-line phone systems, data entry, filing, and front desk operations is preferred.
Demonstrated customer service skills with a friendly demeanor and professional phone etiquette.
Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
Previous personal assistant or administrative experience is a plus but not required; training will be provided for specific tasks.
