Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth flow of administrative tasks and providing exceptional support to staff and clients alike. Your energy, attention to detail, and proactive approach will help foster an efficient, welcoming office environment. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant workplace.

Responsibilities

Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records.
Perform data entry tasks with accuracy using spreadsheets, Microsoft Office applications, and Google Workspace tools.
Assist with calendar management and scheduling appointments for team members or clients, utilizing productivity software.
Support office management activities such as supply inventory, order processing, and equipment maintenance.
Provide customer service by addressing inquiries promptly and professionally, supporting client communication efforts.
Handle clerical duties including proofreading documents, preparing Word processing files, and managing correspondence.

Experience

Proven office experience or administrative support background demonstrating strong organizational skills.
Familiarity with office management tools such as Microsoft Office Suite (Word, Excel), Google Workspace, and data entry software.
Experience handling multi-line phone systems and providing excellent customer support in a professional setting.
Bilingual ability is a plus for effective communication with diverse clients and team members.
Strong computer literacy with technical proficiency in productivity software, spreadsheets, and calendar management.
Demonstrated ability to prioritize tasks efficiently while maintaining attention to detail in fast-paced environments.
Previous experience in personal assistant roles or front desk positions is advantageous.
