Full Job Description

A Redondo Beach property management and real estate company is seeking an Assistant Property Manager / Maintenance Coordinator to oversee a residential portfolio and coordinate maintenance operations across our commercial and residential properties. This is a hands-on role for a resourceful self-starter who is comfortable learning new technology, using AI tools responsibly, maintaining accurate records, and improving processes. We are a fast-paced, collaborative, people-first company with multiple properties throughout Southern California.

We are seeking a highly organized, technology-forward professional who communicates clearly, follows through consistently, and takes ownership of assignments from beginning to completion.

Key Responsibilities

Oversee day-to-day operations of a residential portfolio currently consisting of approximately 32 units.
Coordinate move-ins, move-outs, inspections, and unit turns.
Manage vacancy postings, leasing coordination, applicant screening, lease renewals, and rent increases.
Serve as the primary point of contact for residential tenant questions, requests, complaints, and incident reports.
Investigate reported issues, conduct follow-up, and ensure matters are documented and resolved.
Coordinate maintenance work orders, vendor scheduling, property access, progress updates, and completion.
Obtain and compare bids and assist with repair and improvement projects.
Maintain complete, accurate, and understandable work orders, property notes, records, and supporting documentation.
Confirm that vendors, security personnel, and day porters are completing assigned duties.
Perform onsite inspections and document findings in AppFolio.
Prepare vendor agreements and assist with contract administration.
Oversee compliance with the company’s HVAC maintenance program and collection of required tenant documentation.
Use AI and other technology tools to improve communications, organize information, draft procedures, summarize issues, and streamline workflows.
Communicate professionally and clearly with tenants, vendors, employees, and management.
Support the commercial property management team as needed.
Recommend and help implement better systems and processes when opportunities are identified.
Perform other related duties as business needs evolve.

Qualifications

At least two years of relevant experience in property management, maintenance coordination, facilities coordination, project coordination, or a similar operational role is preferred. Candidates with less direct experience may be considered if they demonstrate strong technical ability, judgment, organization, and relevant transferable skills.
Strong organizational skills and the ability to manage multiple open assignments without losing track of details.
Demonstrated follow-through and the ability to close the loop on tenant, vendor, and maintenance matters.
Strong written and verbal communication skills.
High attention to detail, including the ability to create notes and records that are clear and understandable to others.
Comfortable learning and working in property management and project-management software.
Experience with AppFolio is preferred; strong experience with comparable property management software may be considered.
Proficiency with Microsoft Word, Excel, Outlook, Asana, or similar platforms.
Practical experience using AI tools to increase accuracy, productivity, communication quality, or organization.
Ability to verify AI-generated work, protect confidential information, and use sound judgment rather than relying on AI without review.
Experience with leasing, tenant relations, maintenance coordination, inspections, or unit turns is preferred.
Resourceful, dependable, proactive, and comfortable taking ownership of assignments.
Ability to work effectively both independently and as part of a team.
Valid driver’s license and reliable transportation for property visits, if required.
