Full Job Description

POSITION SUMMARY

The Warehouse Superintendent is responsible for overseeing the daily operations of the warehouse facility, ensuring the efficient receipt, storage, inventory control, and distribution of donated goods and materials. This role ensures that warehouse activities are conducted safely, efficiently, and in compliance with organizational policies and applicable regulations.

The Superintendent supervises warehouse staff and volunteers, maintains inventory accuracy, coordinates logistics, and ensures the facility and equipment are properly maintained. This position plays a key role in supporting the mission of the Society of St. Vincent de Paul by ensuring donated goods are processed, stored, and distributed effectively to support community programs and services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Mission and Leadership

Culture Building: Foster a collaborative and mission-driven work environment aligned with the organization’s values.

Warehouse Operations and Inventory

Operational Procedures: Establishes operational procedures for activities such as verification of incoming and outgoing shipments, handling and disposition of materials, and keeping warehouse inventory current.
Daily Oversight: Oversee daily warehouse operations including receiving, sorting, storage, inventory management, and distribution of goods.
Facility Maintenance: Inspects physical condition of warehouse and equipment.
Inventory Control: Collaborates with the Director of Retail Operations to ensure and maintain effective inventory levels at all stores and the warehouse.
Waste Management: Directs salvage of damaged or used material and ensures coordination of warehouse activities such as baling.

Logistics and Vendor Management

External Relations: Seeks out potential vendors and cultivate existing vendor relations.
Scheduling: Schedule product pickups with the vendors and coordinate store and bin collections and drop-offs.
Efficiency Improvements: Implement improvements in routing procedures to promote greater efficiency and to lower operating costs.
Investigate Technology Solution: Investigate and recommend software inventory tracking solutions to better manage the flow of inventory from stores and warehouse.
Administrative Reporting: Creates and reports all vendors purchasing invoices and ensures timely reporting to the Director of Retail Operations.
Special Initiatives: Assist in planning logistics for special events, donation drives, and distribution initiatives.
New Vendor Processing: Ensure that new vendors are set up and processed in the bill payment system in an appropriate, timely manner by coordinating with accounting.

Personnel and Team Management

Supervision: Supervise warehouse employees, including scheduling, task assignments, and performance oversight.
Talent Development: Hires, trains, and encourage promotion within by utilizing on-the-job training and varying work assignments.
Staff Coordination: Work with staff to ensure coordination of activities such as truck loading and unloading.

Safety and Risk Management

Safety Planning: Participates in planning personnel safety, warehouse protection activities, and emergency preparedness.
Training: Conduct safety training and promote a culture of safe work practices.
Workplace Standards: Promote a safe, secure, and productive work environment and implement work standards consistent with effective cost controls.
Hazard Prevention: Participate in planning and implementing safety programs, including workplace hazard prevention.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

EDUCATION and EXPERIENCE

5 years of warehouse experience
Strong negotiation skills in working with all outside vendors.
Experience in driving a forklift and current certification is required.
Excellent customer service skills including experience in assisting all people in a friendly, professional, and courteous manner.
Knowledge of geographical area
High School diploma or equivalent
Postsecondary education in logistics, supply chain management, business administration, or a related field preferred.
Intermediate computer skills
Strong leadership skills including ability to motivate and direct diverse workforce

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by employee to successfully perform the essential functions of the job. While performing the duties of this job the employee is regularly required to sit, walk, stand, talk, hear, and drive. Manual work, inside and/or outside, is required frequently. Frequent lifting up to 50 lbs. and semi-frequently over 50 lbs. Valid driver’s license as well as CDL License is mandatory.
