Full Job Description

Job Summary

We are seeking a dynamic and highly organized Administrative and Construction Project Services professional to join our team. In this role, you will provide essential administrative support to construction project teams, manage office operations, and ensure smooth communication across departments. Your proactive approach and attention to detail will help streamline project workflows, enhance client interactions, and maintain efficient office functions. This position offers an exciting opportunity to contribute to impactful construction projects while developing your administrative expertise in a fast-paced environment. THIS POSITION IS IN OUR DOWNTOWN SACRAMENTO OFFICE - Parking paid.

Duties:

Document Control & Filing

Set up and maintain digital and physical project files in Procore and shared drives
Log, distribute, and track incoming and outgoing submittals, RFIs, and shop drawings
Maintain drawing logs and ensure the team is working from current document revisions
Scan, upload, and organize field reports, inspection records, and photos
Prepare and distribute meeting minutes and correspondence on behalf of the PM/Supt

Contract & Compliance Administration

Assist with preparation and routing of subcontract agreements and purchase orders
Collect, verify, and log subcontractor insurance certificates, W-9s, and prequalification forms
Track and follow up on outstanding contract execution, signed change orders, and lien waivers
Maintain the change order log and notify the PM/Supt of pending or unsigned items
Support permit and inspection tracking; coordinate with local agencies as directed

Billing & Cost Support

Receive, code, and route subcontractor and vendor invoices for PM/Supt approval
Assist with preparation of Owner pay application backup documentation
Maintain organized billing files and track payment status for each project
Flag overdue invoices and assist accounting with collections follow-up

Scheduling & Communication Support

Assist the PM/Supt in maintaining the project schedule and distributing lookahead updates
Coordinate deliveries, inspections, and access requests with the field team
Prepare project status summaries, reports, and client correspondence as directed
Answer and direct phone calls, emails, and inquiries related to active projects

Close-Out Support

Compile close-out packages including as-builts, O&M manuals, warranties, and attic stock logs
Track punch list completion and follow up with subcontractors on outstanding items

Prepare final lien waiver packages

Requirements

Proven office experience with strong organizational skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
Excellent computer literacy with the ability to perform data entry accurately and efficiently
Strong typing skills along with attention to detail for proofreading documents and managing records
Prior administrative or clerical experience in an office environment or construction setting preferred
Ability to manage multiple tasks efficiently with good time management skills
Knowledge of office management procedures including filing systems, customer service practices, and calendar management
