Job Summary

We are seeking an energetic and highly organized Office Operations Manager – Catalog Management/Facilitator to oversee the smooth functioning of our office operations with a focus on catalog management and facilitation. This dynamic role requires a proactive leader who can coordinate administrative tasks, manage vendor relationships, supervise team members, and ensure efficient office workflows. The ideal candidate will bring a blend of administrative expertise, technical proficiency, and excellent communication skills to support our organizational goals and foster a productive work environment. Join us to lead operational excellence and contribute to our mission of delivering outstanding service and seamless processes.

Responsibilities

Oversee catalog management processes, ensuring accurate and timely updates across digital and physical platforms
Facilitate communication between departments, vendors, and clients to streamline operations and resolve issues promptly
Supervise administrative staff, providing training, guidance, and performance feedback to maintain high team standards
Manage schedule coordination for meetings, events, and project deadlines using calendar management tools
Handle vendor management tasks including onboarding, project management, and performance evaluations
Ensure confidentiality of sensitive information while managing filing systems, office documentation, and client records
Support event planning activities for team meetings or organizational functions to promote engagement and collaboration
Utilize Microsoft Office Suite and spreadsheets to prepare reports, track project progress, and analyze data for decision-making

Experience

Proven experience in office management or administrative roles with a focus on catalog or inventory oversight
Supervising experience with a track record of leading teams effectively in fast-paced environments
Strong proficiency in Microsoft Office applications including Word, Excel (spreadsheets), and Outlook for scheduling and communication
Hands-on experience with accounting software such as QuickBooks or similar financial tools; familiarity with bookkeeping practices
Excellent organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail
Strong communication skills for client interaction, team collaboration, and professional correspondence
