Position Summary
The Finance Coordinator supports the day-to-day financial operations of Community HealthWorks. Working under the supervision of the Director of Finance, the Coordinator assists with accounts payable, transaction entry, reconciliations, financial
documentation, revenue and contract tracking, invoicing, reporting, audit preparation, and other routine finance activities.
The role also coordinates check and payment requests connected to program needs. Current examples include housing deposits, housing assistance, flexible funding, and other approved housing-related or client-support expenses. These requests may come from CoHeWo program teams or external partners operating under agreements with CoHeWo. The Finance Coordinator helps make sure required documentation, approvals, and supporting information are complete before a check or payment is prepared for sign-off.
This is an in-person, non-supervisory role based at Community HealthWorks’ Sacramento office. It is well suited for someone who enjoys detailed work, organized processes, accurate records, and following a request through completion.
What This Work Looks Like
This role combines routine bookkeeping and financial administration with frequent coordination across the organization. Part of the day may involve entering transactions into QuickBooks, reviewing invoices, reconciling debit card activity, updating Excel tracking tools, organizing financial records, or preparing documentation for reports and audits.
Another part of the day may involve reviewing a check request from a program team or partner. Before the payment can move forward, the Finance Coordinator may need to confirm that the request includes the required supporting documents, approval, payment information, and other documentation required by the applicable process or funding source. When something is missing or does not match, the Finance Coordinator follows up with the appropriate person and helps keep the request moving.
Some work is predictable and recurring. Other requests may be time-sensitive, particularly when a payment is connected to a housing or other immediate program need. The Finance Coordinator must be able to respond with appropriate urgency while still following financial controls and documentation requirements.
A Day in the Life
You may begin your day by reviewing invoices, payment requests, messages, and upcoming deadlines. You might enter vendor invoices or debit card transactions into QuickBooks, reconcile activity against receipts and approvals, or update a revenue or contract-tracking worksheet.
Later, a program team may submit a request for a housing deposit or another approved program expense. You would review the request for required documentation and approvals, follow up if something is missing, and prepare the payment materials once the request is complete. You may also communicate with an external partner about documentation needed for a payment under an existing agreement.
The rest of the day might include preparing a bank deposit, organizing finance records, assisting with a funder invoice, gathering documents for an audit or report, or resolving a discrepancy with a vendor or coworker.
No two days will look exactly the same, but accuracy, documentation, follow-through, confidentiality, and timely communication are always part of the work.
What You’ll Do
Accounts payable, bookkeeping, and reconciliation

Enter debit card transactions, vendor invoices, and other financial information into QuickBooks.

Review vendor invoices for accuracy and confirm that required supporting documentation and approvals are in place.

Match invoices to applicable packing or delivery documentation, approval records, or other supporting materials.

Prepare debit card reconciliations and compile receipts and other supporting documentation in the required format.

Communicate with vendors and coworkers to resolve discrepancies, missing information, or other payment issues.

Prepare bank deposits and maintain related financial records.

Assist with annual 1099 preparation for applicable vendors and consultants.
Program, housing, and partner payment coordination

Coordinate check and payment requests for approved program needs, including housing deposits, housing assistance, flexible funding, and other housing-related or client-support expenses.

Review requests to confirm that required documentation, approvals, payment information, and supporting records are complete before checks or payments are prepared for sign-off.

Coordinate with CoHeWo program teams and external partners operating under agreements with CoHeWo when additional documentation or clarification is needed.

Maintain organized records of payment requests and supporting documentation in accordance with applicable finance, contract, program, and organizational requirements.

Balance timely processing with the need to follow established financial controls and approval processes.
Financial tracking, reporting, and records

Maintain revenue worksheets, contract records, and other financial tracking tools.

Assist with invoices to funders, donors, and other applicable parties.

Assist with preparation of monthly and quarterly financial reports.

Support annual audit preparation by gathering, organizing, and maintaining requested documentation.

Organize electronic finance, vendor, funding contract, and related records so information can be located when needed.

Maintain required paper records when applicable.

Assist with the development and maintenance of fiscal and financial policies, procedures, and workflows.

Perform other related duties as organizational and program needs evolve.

What Can Be Challenging About This Work
Finance work is detail-oriented and often deadline-driven. Some responsibilities are repetitive by design because accuracy, consistency, and documentation matter. There may be periods, particularly around month-end, reporting deadlines, audits, or increased program activity, when several requests need attention at the same time.
The Coordinator often depends on other people to provide complete documentation or approvals. A payment may be important to a program team or time-sensitive for a housing need, but Finance may not be able to move it forward until required information is complete. The role requires being responsive and helpful while also maintaining appropriate financial controls and being comfortable following up when something is missing.
Errors can affect reporting, vendor relationships, program operations, or the timing of a payment. The work therefore requires sustained attention to detail, sound judgment, and a willingness to slow down and verify information when something does not look right.

What We’re Looking For
Required

High school diploma or GED.

Solid understanding of basic bookkeeping and knowledge of generally accepted accounting principles and procedures.

An associate degree or equivalent education from a two-year college or technical school with an emphasis in accounting, finance, or a related field; or at least three years of relevant experience in nonprofit, accounting, bookkeeping, data analysis, finance, or a related field; or an equivalent combination of education and experience.

Ability to work accurately with financial information and perform basic mathematical calculations.

Ability to read and follow written procedures, instructions, correspondence, and financial documentation.

Clear written and verbal communication skills and the ability to communicate professionally with coworkers, vendors, partners, and others.

Working knowledge of Microsoft Office, including Excel, and comfort learning and using financial and electronic documentation systems.

Relevant experience that may help you succeed
Relevant experience may come from paid work, education, internships, volunteering, or other settings where you developed transferable finance, administrative, documentation, or coordination skills. Applicants do not need to meet every preferred qualification to be considered.

Experience using QuickBooks Online, particularly in nonprofit accounting environment, or another accounting or bookkeeping system.

Experience with accounts payable, invoice review, reconciliations, financial recordkeeping, or payment processing.

Experience with nonprofit finance, grants or contracts, multiple funding sources, or financial processes with specific documentation and approval requirements.

Experience maintaining Excel-based tracking tools and organized electronic records.

Experience coordinating documentation, approvals, or payment requests across multiple teams, vendors, or external partners

Work Environment & Schedule
This is a full-time, non-exempt, in-person position based at Community HealthWorks’ office at 2029 H Street, Sacramento, CA 95811. This is not a remote position.
The position typically works Monday through Friday during regular business hours. Occasional schedule adjustments or additional hours may be needed to support financial deadlines, audits, reporting requirements, or other organizational needs. Approved overtime will be compensated in accordance with applicable law and organizational policy.
The role is primarily office-based and includes regular computer use, financial and electronic recordkeeping, communication with coworkers and external parties, and frequent interruptions as requests and documentation are received from across the organization.
Physical & Emotional Demands
The position requires frequent sitting, speaking, listening, computer and telephone use, writing, and operation of standard office equipment. The employee may occasionally stand, walk, bend, reach, and lift or move approximately 10–15 pounds.
