Job Summary
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure a smooth and efficient office environment. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant workplace.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle incoming correspondence, emails, and inquiries with accuracy and professionalism
Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives
Perform data entry, filing, and document proofreading to support administrative workflows
Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for various clerical tasks
Support office management duties including supply inventory, organization of files, and basic bookkeeping tasks

Experience

Prior office experience or administrative support background is preferred
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with multi-line phone systems and excellent phone etiquette skills
Bilingual abilities are a plus to assist diverse client needs
Demonstrated organizational skills with the ability to multitask effectively in a fast-paced environment
Clerical experience involving data entry, filing, proofreading, and customer service is highly valued
Knowledge of medical or dental receptionist duties or personal assistant experience is advantageous but not required
