Events Manager
FLSA Status: Non Exempt
Job Summary
Oversee the entire lifecycle of an event, initial contact with the event director, scheduling of staff, artwork requests, inventory management, online sales, on site event set up and maintenance of event equipment.
Essential Duties and Responsibilities
· Maintains event schedule by working with coaches, event directors, and businesses to ensure availability and best sales practices, while promoting Sandlot and the services offered.
· Hiring, training and scheduling of all event staff.
· Using Shopwork’s, create event orders and request artwork for each event. Approve designs from art team or request edits as needed.
· Issue purchase orders for inventory to be purchased. Receiving purchase orders as needed to ensure proper quantities and sizes have been received.
· Email, phone and in person meetings with event directors to plan out logistics of each event and what resources are available. Ensure all services are delivered as contracted.
· Gather necessary information (number of teams, type of sport or corporate event, game schedules, ages of players) needed to finalize inventory, staff and equipment needs for each event.
· Prep for events by pulling inventory, bagging and labeling by size, packing and loading of all equipment, and fueling company vehicles for staff scheduled.
· Maintenance of all equipment, including company vehicles, to ensure all is in proper working condition.
· Ensure event partnership contracts have been received and signed prior to the event dates.
· Cash balancing and event reconciliation after the event has been completed.
· Entering event staff payroll in a timely manner.
· Calculating and requesting event fundraising checks after event dates. (internal)
· Using Order My Gear, build online event stores for each on-site event to maximize sales potential.
· Order entry and cash balancing of Order My Gear stores once they are closed. Making sure delivery dates are met for online orders.
· Tracking of event sales and online sales by month and by year using Excel.
· Entry of add on orders for promotional products and banners for events as requested.
· Troubleshooting as needed with staff during events.
· Researching and connecting with new event directors to grow sales and fill in schedule gaps as needed.
Supervisory Responsibilities
Responsible for the overall direction, coordination and evaluation of personnel and events. Carries out leadership responsibilities in accordance with company policies, procedures, safety, and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning assisting, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience
High School Diploma required, College preferred as 3+ years management experience preferred. Strong skills in work planning and scheduling and must have above average organizational skills and time management.
Language Skills
Ability to read, analyze, and interpret event director information for planning purposes. Ability to effectively present information and respond to questions from managers, clients, customers, and employees.
Mathematical Skills
Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions of practical situations for event planning.
Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
