Collage Day School is an educationally dynamic, independent private day school in the beautiful Palm Valley area of Ponte Vedra Beach, Florida. PURPOSE: The ideal candidate will be a data-driven decision maker, an experienced infancy through elementary and/or admissions professional, and a creative leader in recruitment, retention, and communications. The Director should be a team player with a warm collaborative nature; positive energy; and a sense of humor. They should also possess superior organization and prioritization skills and be self-motivated in completing their work. The ideal candidate will have exceptional communication and interpersonal abilities, including outstanding writing and public speaking skills, and the ability to engage comfortably with a wide range of individuals.
This person should demonstrate genuine empathy for prospective families and an understanding of the needs and sensitivities of parents, students, faculty, staff, and administrators.
ADMISSIONS & ENROLLMENT:
● Serve as the primary point of contact between the school and prospective families, ensuring strong relationships are built and maintained throughout the admissions and enrollment journey.
● Serve as the public face and brand ambassador of Collage Day School to prospective families, current families, community partners, and other key stakeholders.
● Track and report all admissions and enrollment data daily and weekly using the school's CRM, including HubSpot, shared Excel spreadsheets, and other reporting tools, ensuring a high level of accuracy and attention to detail.
● Own all admissions-related data management and reporting, maintaining clean, accurate, complete, and up-to-date records at all times.
● Promote, distribute, and process applications for new students and families.
● Engage prospective families to move them from Lead to Application and ultimately Enrollment by providing timely, personalized outreach and follow-up at every stage.
● Provide information, answer questions, and discuss academic interests, program offerings, admissions requirements, financial aid, Step Up Florida Scholarship opportunities, and other relevant enrollment considerations.
● Oversee the full enrollment process from inquiry through enrollment, including application monitoring, student interviews, admissions assessments, enrollment contracts, and timely communication of admissions decisions.
● Support families in completing all steps of the admissions process.
● Review and evaluate applications to ensure academic requirements and prerequisites are met.
● Make admissions decisions for applicants in partnership with the Head of School.
● Advise prospective families who may not meet current-year admissions requirements and provide appropriate guidance regarding future opportunities.
● Execute enrollment contracts for new and returning families.
● Maintain accurate and up-to-date manual and electronic student records.
● Schedule and conduct tours, meetings, interviews, and other admissions-related engagements with prospective families.
● Coordinate admissions assessments and ensure appropriate follow-up.
● Analyze the admissions pipeline regularly to identify trends, opportunities, and areas for improvement and report findings to the Head of School, School Leadership Team, and Regional Director of Admissions & Retention.
● Use admissions and enrollment data to inform recruitment, retention, marketing, and growth strategies.
Recruitment, Retention & Growth[4]
● Develop and implement recruitment strategies and processes designed to achieve annual enrollment goals.
● Collaborate with the Head of School, School Leadership Team, Regional Admissions and Retention team, and Marketing to develop and implement a growth strategy and tactical business development plan focused on attracting, recruiting, enrolling, and retaining students.
● Maintain ongoing engagement with current and prospective families throughout the year to identify and address potential detractors and strengthen family relationships.
● Support retention initiatives by identifying trends, concerns, and opportunities that may impact reenrollment.
● Develop strategies to improve conversion, enrollment, retention, and family satisfaction throughout the enrollment cycle.
● Share responsibility with the School Leadership Team for shaping the Parent/Student Journey, including relevant policies, procedures, service standards, and their effective delivery to prospective students, applicants, enrolled students, and their families.
● Oversee key parent touchpoints throughout the admissions and enrollment process to ensure families receive clear, consistent, timely, and high-quality communication.
● Work closely with school and regional teams to optimize efficiency and effectiveness throughout the enrollment cycle while ensuring an exceptional customer service experience at every stage.
● Identify and pursue outreach opportunities to connect Collage Day School with the broader community and build awareness of the school's programs and offerings.
● Research schools, programs, fairs, community organizations, and peer institutions to identify new recruitment opportunities and continuously improve admissions strategies and protocols.
● Identify and explore new ways to reach diverse audiences while continuously evaluating and improving recruitment and outreach efforts.
Marketing, Communications & Brand[5]
● Collaborate with the Marketing Department and Regional Marketing Team on branding, admissions-focused advertising, campaigns, communications, and marketing materials.
● Work with Marketing to create content and campaigns that evoke emotion, foster a deeper connection to Collage Day School, and attract new families while nurturing existing relationships.
● Provide content and ideas for the school website, email communications, social media, publications, videos, and other platforms, highlighting Collage Day School's story, community impact, core values, programs, and success stories.
● Work with Marketing to manage and elevate the Collage Day School brand by building strong relationships with key stakeholders, including teachers, administrators, students, and parents.
● Establish internal processes to identify and surface compelling storytelling opportunities from
QUALIFICATIONS REQUIRED:
● Bachelor’s degree or a combination of education and experience
● Minimum 3 – 5 years of experience in admission and recruitment, or related experience in an educational environment
● Previous experience with Step up scholarships, FACTS tuition management system, Brightwell, and Excel strongly preferred
● Ability to take responsibility for assigned projects from inception to completion with attention to detail, accuracy and a data-driven focus
● Excellent organizational, time management and follow-through and interpersonal skills
● Ability to collaborate with various departments throughout the school community
● Excellent interpersonal and communication skills required
SALARY: Commensurate with experience. Salary range $55,000 - $65,000.
