Full Job Description

USPI Theda Oaks Gastro and Endo Center is seeking a motivated Scheduler/Receptionist to join our team. Our team is small, but we are mighty! Current operations are M-F, 5:30 a.m. - 6:30p.m., however hours will depend on patient flow. We have 4 Treatment rooms. We perform outpatient surgical procedures in Gastroenterology and Pain Management

Job Summary: Under the direction of the Business Office Manager, the Scheduler/Front Desk Representative is responsible for daily maintenance of the surgery schedule and all aspects of the scheduling process. This includes strategizing and problem solving and ensuring high levels of customer service with scheduling coordinators from all doctors'' offices and Operating Room Staff.

Key Responsibilities:

Coordinate and schedule surgeries while working closely with physicians and patients.
Verify patient information, insurance coverage, and surgical documentation to ensure everything is in order before procedures.
Communicate pre-operative instructions and guidelines to patients, ensuring they are well-prepared.
Serve as the primary contact for surgery-related inquiries, offering clear and compassionate communication to patients and their families.
Adjust and manage surgical schedules to accommodate emergencies, changes, and cancellations.
Collaborate with the clinical team to ensure that the surgical workflow is efficient and all necessary resources are available.
Maintain meticulous records of patient schedules, documentation, and follow-up care appointments.

Required Skills:

Qualifications:

High School Diploma or equivalent.
Minimum 2-4 years of hospital or medical office experience required.
Knowledge of Insurance Carriers
Bilingual preferred
Must be able to communicate verbally and non-verbally in a professional way.
Ability to use time wisely in preparing work area to meet high-paced demand.
Show a genuine desire to work and improve the hospital as a whole.
Professional appearance.
Strong medical terminology.
Must demonstrate excellent phone etiquette and exceptional customer service skills.
