Full Job Description

We are a growing construction and remodeling company looking for a highly organized, dependable, and proactive Production Administrator / Project Coordinator to join our team for a long-term position.

This is an important office role that helps connect our customers, project managers, field team, accounting, vendors, and management while keeping projects organized and moving forward.

Key Responsibilities

* Maintain project files and enter invoices, documents, and updates into our CRM.

* Monitor active projects and follow up with project managers and field supervisors to help keep projects on schedule.

* Conduct customer welcome calls, progress calls, and completion calls.

* Coordinate with accounting to help ensure invoices, expenses, and project records are accurate.

* Assist with permits and project documentation.

* Order and track materials, inventory, and office supplies.

* Organize emails and follow up with customers, vendors, and team members.

* Schedule meetings, appointments, and company calendars.

* Assist management with scheduling, travel arrangements, and general administrative needs.

* Any additional work or assistance that is necessary in the office work.

Who We’re Looking For

We are looking for someone who is organized, responsible, professional, and comfortable handling multiple priorities.

The ideal candidate has excellent communication and customer service skills, pays close attention to details, follows through on responsibilities, and is able to work independently and take initiative.

Experience with construction or remodeling, project coordination, CRM systems, permitting, or office administration is preferred.
