Full Job Description

Job Summary:

The Accounting Clerk Assistant supports the Finance and Accounting Department with day-to-day accounting, payroll support, accounts receivable, expense processing, recordkeeping, and other administrative functions necessary to maintain accurate financial records and efficient department operations.

This position requires a working knowledge of QuickBooks and fundamental accounting principles, strong attention to detail, effective communication skills, and the ability to work accurately within established deadlines.

Essential Job Duties and Responsibilities: Those basic duties necessary to meet the minimum requirements of the position. Other duties may be assigned at the discretion of Senior Management. The minimum list is as follows:

1. Payroll and Timekeeping Support including Employee Timecard Verification – Assist with reviewing employee timecards, meal-period records, and time summaries for payroll accuracy and completeness. Identify discrepancies and assist with obtaining corrections or supporting documentation as needed.

2. Accounts Receivable – Post and apply customer payments accurately to client accounts and assist with maintaining accurate accounts receivable records.

3. Accounts payable- Enter invoices; and credit card expenses. Match and verify receipts and support documentation against credit card transactions and other business expenses. Follow up on missing or incomplete documentation as necessary.

4. Filing – Maintain filling records organized. Including but not limited to current vendor, client, and Finance Department records, including electronic and physical files as applicable. Assist with the annual review, archiving, and authorized disposal of records in accordance with company record-retention procedures.

5. Phone Coverage – Assist with answering company phones and providing coverage as needed while maintaining a courteous and professional manner.

6. Communication – Promptly respond to business-related emails, messages, and voicemails. Communications should generally be acknowledged or addressed no later than the end of the business day, unless circumstances require more immediate attention.

7. Attendance and Punctuality – Maintain regular and punctual attendance and comply with established work schedules, attendance policies, and notification procedures.

8. Professional Conduct and Appearance – Maintain appropriate business-casual attire and represent the company professionally when interacting with clients, vendors, employees, and members of the public.

9. Confidentiality – Maintain the confidentiality of employee payroll information, client financial information, company financial records, and other confidential or proprietary information encountered while performing assigned duties.

10. Other Duties – Perform other accounting, payroll-support, clerical, and administrative duties as assigned by the Company Controller or Senior Management.

Qualifications: To perform this job successfully, the individual must be able to perform each essential duty satisfactorily and have a working knowledge of Quick Books and the principles of accounting. The requirements listed below are representative of the knowledge, skills, and experience required. Reasonable accommodation may be made to disabled people.

· Minimum high school diploma or equivalent required. Prior security industry experience preferred. College education desirable. Minimum 2-3 years of professional-level experience required. Experience in position desirable.

· Must maintain a valid California driver’s license, pass background checks, and pass all safety tests. Use office technology.

· Demonstrated ability to be customer service oriented, with the ability to interact with all levels of individuals in a courteous manner, and resolve situations before they escalate. Energetic and focused, takes initiative, meets deadlines, good judgment

Physical/Mental Requirements:

· Must be able to walk, stand, reach with both arms, sit, see, hear and may drive a vehicle. Occassionally may require running, climbing ladders, or lifting up to 25 pounds. Must be able to communicate effectively verbally and in writing using English.

· Work will be conducted in an office setting. Ambient noise is relatively quiet, which includes normal conversations, business machines, radios and phones, but occassionally may above-normal for portions of the shift.

· Must be able to concentrate on details, work under deadline pressures, apply sound reasoning and judgement, and prioritize tasks and responsibilities. Must be able to focus and multi-task in busy environment, with ability to stay calm under stress.

· Physical presence required at office or other premises as designated by employer to perform job duties, this job is not eligible for telecommuting.
