Job Summary

The Dispatcher is a critical member of our Service team, responsible for coordinating and dispatching field mechanics to repair, maintenance, and modernization jobs across our Northern California region. This role serves as the central communication hub between clients, field personnel, and internal teams, ensuring timely response to service requests and efficient scheduling of work. The ideal candidate is highly organized, excels in a fast-paced environment, possesses strong communication skills, and has a proactive, problem-solving mindset.

Essential Duties and Key Responsibilities

Receives and responds to phone calls from clients, provides callers with accurate and clear information or refers calls to appropriate staff for handling
Monitors mechanics' daily schedule and adjusts appointments in timely and logistical order if needed
Responds to calls from mechanics for assistance and direction
Understands service area in order to assist mechanics in reaching their destination in a timely manner
Provides exceptional customer service when dealing with clients, mechanics, and other personnel.
Communicate and work in conjunction with managers to appropriately direct mechanics
Communicate cancellations to mechanics in a timely manner
Improve service productivity and efficiency by scheduling appointments within close proximity to each other
Communicate route problems to appropriate personnel for review
Contribute to the harmonious working environment of all Dwan employees
Record/document any client requests and/or issues to be relayed to mechanics in Housecall Pro
Assists with notifying management when serious incidents occur
Records and maintains late and cancelled service appointments
Assists with rerouting mechanics and adjusting schedules in response to shifting priorities
Performs various administrative duties as assigned
Build schedules in Housecall Pro to maximize productivity
Identify problems and recommend solutions for improvement
Effectively communicate in a professional manner both in writing and over the phone

Qualifications

Desired Education and/or Experience:

High School Diploma or GED
Basic computer knowledge - Microsoft Office products (Outlook, Word, and Excel)
Experience with scheduling appointments in Housecall Pro
Minimum of 2 years dispatching / scheduling experience in service-based industries (HVAC, plumbing, electrical, property management, etc.)

Skills:

The individual in this position should be personable, highly motivated, detail oriented with the ability to work in a fast-paced environment
Provide exceptional customer service to our clients and mechanics
Have personal accountability and self-management skills to prioritize and complete all tasks required of the position
Valid driver’s license
Effective and professional verbal and written communication skills

Hours: Monday – Friday, 7am – 4pm

Compensation

Competitive base salary commensurate with experience.
