Position Summary
The Volunteer Coordinator serves as a key community-facing representative of the Sophienburg Museum and Archives, responsible for cultivating, managing, and sustaining a dynamic volunteer program that supports the museum’s mission. This role focuses on recruiting, interviewing, training, scheduling, and engaging skilled volunteers while ensuring meaningful placement aligned with organizational needs. The Coordinator also maintains volunteer records and fosters strong relationships with community members and board-affiliated volunteers.
Key Responsibilities
Volunteer Recruitment and Engagement
- Develop and implement strategies to recruit diverse and skilled volunteers from the community.
- Serve as the primary point of contact for prospective and current volunteers.
- Represent the Sophienburg at community events and outreach opportunities to promote volunteer involvement.
Screening, Placement, and Training
- Conduct interviews to assess volunteer skills, interests, and availability.
- Match volunteers with appropriate roles across museum operations, programs, events, and archives.
- Design and coordinate onboarding and training processes to ensure volunteers are well-prepared and supported.
Scheduling and Communication
- Manage volunteer scheduling to ensure adequate coverage for programs, events, and daily operations.
- Maintain consistent and professional communication with volunteers regarding assignments, expectations, and updates.
- Develop systems to ensure clarity, accountability, and responsiveness in volunteer coordination.
Database and Record Management
- Maintain accurate volunteer records using the Volunteer Local platform.
- Track volunteer hours, assignments, and engagement metrics.
- Generate reports to support organizational planning, grant reporting, and program evaluation.
Collaboration and Partnership
- Work closely with staff and department leads to identify volunteer needs and opportunities.
- Partner with board members and board-affiliated volunteers to support initiatives, events, and strategic goals.
- Foster a culture of appreciation and recognition for volunteer contributions.
Qualifications
- Bachelor’s degree or equivalent experience in nonprofit management, communications, public relations, or a related field
- Minimum of 2–3 years of experience in volunteer coordination, community engagement, or program management.
- Strong interpersonal and communication skills with a demonstrated ability to engage diverse audiences.
- Experience with volunteer management software (Volunteer Local preferred) or similar database systems.
- Highly organized with strong attention to detail and ability to manage multiple priorities.
- Passion for local history, cultural heritage, and community-based nonprofit work.
- Bilingual (English/German or English/Spanish) is a plus.

Work Environment and Schedule
This position requires regular interaction with fellow employees and the public and may include occasional evening or weekend hours to support events and programs. Schedule is flexible.
Compensation
This position is currently offered part-time (30-35 hours/week) Pay rate is $20-25.
