We're looking for an organized, personable, and detail-oriented In-House Wedding Coordinator to guide couples through the final stages of planning and confidently lead their wedding day. This role is perfect for someone who thrives in a fast-paced environment, enjoys building close relationships, and loves bringing events to life.
Our coordination packages range from Month-of Coordination to Three-Month Coordination, ensuring every couple receives the guidance and support they need leading up to their wedding.
Responsibilities
Responsibilities include, but are not limited to:
- Guide couples through the planning process by providing exceptional service through emails, phone calls, meetings, and venue visits.
- Build detailed wedding day timelines, venue floor plans, seating layouts, and ceremony logistics.
- Maintain accurate client information within our CRM and client portal.
- Offer planning guidance and thoughtful recommendations that help couples create a seamless wedding day.
- Conduct planning meetings, final walkthroughs, and timeline reviews.
- Coordinate with the venue operations team before, during, and after events.
- Communicate regularly with caterers, florists, DJs, photographers, planners, rental companies, and other vendors throughout the Austin, Texas Hill Country, and San Antonio areas.
- Ensure vendors and couples are meeting venue policies, deadlines, and logistical requirements.
- Troubleshoot and make real-time decisions on wedding days.
- Lead wedding days by managing the timeline, coordinating vendors, directing the wedding party, and ensuring every detail runs smoothly.
- Quickly troubleshoot challenges while maintaining a calm, professional, and positive attitude.
- Utilize software for CRM management, contracts, invoicing, floor plans, and event planning.
- Maintain organized client files and planning documents.
- When not actively coordinating weddings, assist with venue operations, venue tours, venue management, booked client support, and other administrative projects.
- Assist with venue Open Houses and marketing events.
Qualifications

- Has previous wedding or event coordination experience.
- Has exceptional attention to detail and organizational skills.
- Communicates professionally, confidently, and warm with clients, vendors, and team members.
- Thrives in a fast-paced environment and can effectively manage multiple weddings and deadlines.
- Is proactive, resourceful, and able to solve problems under pressure.
- Is comfortable learning and using multiple software platforms.
- Has excellent time management and the ability to prioritize competing tasks.
- Excellent written and verbal communication.
- Comfortable speaking confidently with clients and vendors.
- Is available to work evenings and weekends as required by the wedding industry.

Pay: $52,000.00 - $65,000.00 per year
