Full Job Description

Position Summary

The Office Manager serves as the central administrative coordinator for Congregation B’nai Shalom, ensuring the smooth operation of the synagogue office and providing high-quality support to clergy, staff, lay leadership, congregants, and families. This position oversees office administration, member services, communications, religious school administrative functions, facility scheduling, and event coordination.

The Office Manager plays a key role in creating a welcoming and responsive environment while maintaining efficient administrative systems that support the congregation’s religious, educational, and community activities. The ideal candidate is highly organized, detail-oriented, technologically proficient, and committed to exceptional customer service.

Work Schedule & Environment

This is a full-time, on-site position with a standard Monday-Friday schedule during regular business hours. Work beyond standard hours on evenings, weekends, and Jewish holidays may be required to fulfill the responsibilities of the role and support the needs of the congregation. Remote work is not a standard component of this position and is subject to supervisor pre-approval.

Key Responsibilities

Congregational Relations & Member Services

Serve as the primary point of contact and welcoming presence for congregants, prospective members, visitors, vendors, and community partners.
Provide responsive, professional, and welcoming customer service by phone, email, and in person.
Assist congregants with membership inquiries, event registration, facility reservations, and general office needs.
Foster positive relationships that support an inclusive and welcoming congregational community.
Coordinate donor acknowledgments, tribute notifications, and other member correspondence in partnership with bookkeeping staff and volunteers.

Office Administration & Operations

Oversee the daily operations of the synagogue office and maintain efficient administrative systems and procedures.
Manage calendars, room reservations, facility scheduling, and meeting logistics for clergy, staff, and congregational events.
Maintain office records, files, and administrative documentation.
Purchase and maintain office, worship, and program supplies while monitoring inventory.
Supervise and schedule custodial and kitchen staff and coordinate facility maintenance with vendors as needed.
Assist with planning and logistical support for worship services, holidays, lifecycle events, educational programs, rentals, and special events.
Ensure cross-training and backup coverage for critical front office functions to maintain continuity during absences.

Clergy & Program Support

Work collaboratively with the Rabbi, Hazzan, Director of Education and Programming, staff, and volunteer leadership to support synagogue operations and programming.
Coordinate the Rabbi's calendar, meetings, and administrative needs.
Provide administrative support for clergy correspondence, committee work, and congregational initiatives.
Support Religious School operations by coordinating classroom logistics, facility usage, scheduling, and administrative needs.
Coordinate administrative support for B'nai Mitzvah families, including scheduling, communications, and event logistics.

Communications & Technology

Prepare and distribute congregational communications, including weekly emails, Hadashot newsletter, event announcements, and holiday communications.
Maintain and update the congregation's website, member portal, social media platforms, and email communication systems.
Administer membership and event databases, ensuring accurate records, registrations, and data integrity.
Provide basic support for office technology and communication platforms.

Financial & Administrative Coordination

Maintain organized records related to office expenses, purchasing, and vendor services.
Support budget tracking and purchasing for administrative and program-related needs.
Coordinate invoices, purchase requests, and administrative documentation as requested.

Board & Volunteer Support

Provide administrative support to synagogue officers, Board committees, and volunteers.
Coordinate meeting logistics, agendas, materials, minutes, and follow-up communications.
Assist with volunteer coordination for synagogue programs and events.

Additional Responsibilities

Perform other duties and special projects as assigned by the Director of Education and Programming or President of the Congregation.

Qualifications

Required

Three to five years of experience in office management, administration, nonprofit operations, education administration, customer service, or a related field.
Exceptional organizational skills with strong attention to detail.
Excellent written, verbal, and interpersonal communication skills.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Proficiency with Microsoft Office, Google Workspace, databases, and cloud-based applications.
Ability to maintain confidentiality and exercise sound judgment.
A commitment to providing exceptional customer service in a warm, welcoming environment.

Preferred

Experience working in a synagogue, Jewish communal organization, nonprofit, educational institution, or other faith-based organization.
Experience with ShulCloud or similar membership/database management systems, registration systems, and communication platforms.
Familiarity with Jewish holidays, customs, lifecycle events, and synagogue operations.
Associate's or Bachelor's degree in Business Administration, Communications, Education, Nonprofit Management, or a related field.

Pay: $70,000.00 - $75,000.00 per year
